Service Scheduler & Accounts Administrator
We are on the lookout for a motivated and detail-oriented Service Scheduler & Accounts Administrator to join our dynamic team. If you have strong accounts receivable experience, a knack for scheduling, and a customer-first mindset, this is the role for you.
This is a hands-on position where you'll be at the heart of our operations—balancing scheduling, accounts, administration, and compliance to ensure everything runs smoothly. No two days are the same, and you'll play a key part in keeping our clients happy and our team on track.
What You'll Do
Scheduling & Operations
- Allocate work orders to technicians and contractors.
- Manage, schedule, and close jobs each day within SimPRO.
- Provide updates to clients while delivering exceptional customer service.
- Troubleshoot and resolve issues between clients and trades.
- Build and maintain strong working relationships with our trade network.
- Ensure compliance with KPIs and company standards.
Accounts & Administration
- Manage accounts receivable, including invoicing and following up overdue POs.
- Process supplier invoices and purchase orders.
- Maintain accurate client portals and ensure jobs are closed out on time.
- Provide day-to-day administration and customer service support.
- Keep SimPRO data accurate and up to date.
- Oversee scheduling, reporting, and updates across customers and portals.
WHS & Compliance
- Maintain accurate records of sign-ins and sign-outs on site.
- Oversee completion of SWMS and JSA documentation.
- Manage inductions and ensure compliance with client requirements.
- Organise vehicle, tool, and harness maintenance schedules, plus test and tag bookings.
- Support management with WHS and compliance processes.
- Assist with wider administration tasks and projects.
About You
We're looking for someone who brings energy, efficiency, and enthusiasm. To be successful, you'll have:
- Proven accounts receivable/payable experience.
- Previous service coordination/scheduling experience (facilities maintenance industry experience highly regarded).
- Strong working knowledge of SimPRO (or similar job management software).
- Excellent administration, scheduling, and customer service skills.
- A solid understanding of WHS requirements and compliance processes.
- Strong communication skills—both written and verbal.
- High computer literacy and the ability to quickly learn new systems.
- A positive, can-do attitude and the ability to thrive under pressure.
- The flexibility to work independently and collaboratively within a team.
