About The Role

We are seeking a proactive Scheduling Administrator for our NSW Water and Metering Division to oversee multiple contracts in Metro and Regional Sydney. Located in our Sydney office, this dynamic role involves managing schedules for field employees in a fast-paced environment.

Your responsibilities will include maintaining project statuses efficiently and scheduling field staff effectively to optimise productivity. Additionally, you will be tasked with meticulous documentation control, overseeing the process from job creation and work order forms to project completion sign-off and handover to accounts.

  • Inbound and outbound phone calls.
  • Monitoring, controlling, and managing work orders and job requests.
  • Daily management of schedules.
  • Data entry and reporting.
  • Assisting field staff with enquiries.
  • Liaising with clients and plumbers to prioritise and schedule jobs
  • Establish and maintain processes and procedures for scheduling department in consultation with management
  • Ensure all employee and sub-contractor records are maintained accurately and in a timely manner
  • Complete jobs-management and invoicing requirements as required
  • Assisting with the processing of quotations
  • Ensure all essential paperwork is correct and properly uploaded
  • Administration and ad hoc duties
  • Conduct work reviews and audits for quality improvement purposes
  • Follow up on incomplete or problematic jobs to ensure completion and customer satisfaction
  • Ensure maximum office discretion and confidentiality at all times

Hours: 09:00am – 05:00pm

First 3-6 months will be office-based, then view to hybrid once trained.

  • Experience with Microsoft Office suite
  • Experience with Aroflo (highly regarded).
  • Previous scheduling experience (highly regarded).
  • Knowledge of Metro and Regional Sydney areas.
