About us

We're a locally based property group managing a portfolio of regional shopping centres. We're looking for a super-organised administrator to keep our leasing documentation watertight, our centre operations on track, and our office humming.

The opportunity

You'll be the hub connecting Leasing, Centre Management and the Office/Finance teams. If you love tidy files, crisp process, and friendly, professional communication, this one's for you.

What you'll do

  • Leasing administration

  • Prepare and update lease documents and packs (invitations to lease, disclosure statements, lease particulars, basic lease metrics).

  • Track deal progress and key dates (issue/execution/registration, BGs, insurances) and maintain status reports.
  • Coordinate lessor execution and lodgement/registration, and keep digital files consistent and audit-ready.
  • Maintain expiry, holdover and bank-guarantee registers; produce lease reports and meeting notes as required.

  • Centre management support

  • Be a go-to admin partner for Concierge, Facilities and the Centre team; monitor the shared inbox and triage tenant/contractor enquiries.

  • Maintain maintenance registers (e.g. ), help coordinate contractors, and support incident prelims.
  • Assist with casual licence paperwork, traffic reporting, directories/maps and general centre records.

  • Office & finance admin

  • Manage mail, phones and general office supplies; book apartments and coordinate cleaning when needed.

  • Raise/process basic invoices and support the Finance team with data entry.
  • Keep the file server structured, current and easy to navigate.

What you'll bring

  • Proven admin experience supporting multiple stakeholders (property/retail/leasing experience a plus).
  • Laser-sharp attention to detail, confidentiality and follow-through.
  • Confident communicator who can keep things moving with tenants, contractors and internal teams.
  • Solid MS Office skills; bonus points for experience with document management systems, NetSuite/Progen, (or similar).
