We're looking for a Client Engagement & Admin Coordinator to be the warm, bubbly first point of contact for our amazing clients and the organised engine behind our onboarding, quoting, invoicing, and job coordination processes.

What You'll Be Doing

Client Engagement & Admin Support

  • Onboard new clients by setting up jobs in Xero Practice Manager (XPM)
  • Liaise with our Senior Accountant to determine pricing
  • Prepare and send quotes and engagement letters to clients
  • Follow up to ensure we receive signed agreements and initial deposits
  • Keep in touch with clients to support them through the process and ensure everything is clear and easy

Job & Workflow Coordination

  • Assign work to our accounting team in XPM once engagement is signed
  • Collate the right info and docs from the client so the team has what they need
  • Manage ATO downloads and information for client jobs

Invoicing & Accounts Admin

  • Raise interim and final invoices
  • Allocate payments and reconcile where required
  • Follow up on outstanding client payments (always in a friendly way)

Client Communication & Relationship Care

  • Be the go-to for client queries around billing, onboarding, or document uploads
  • Keep clients in the loop with progress updates and anything we need from them
  • Help make the entire client experience seamless, supportive, and positive

A Bit About You

  • You're naturally bubbly and love working with people
  • You're highly organised and thrive when there's a system to follow (or create)
  • You are able to work autonomously, prioritise, and manage deadlines easily
  • You've got 5 yrs plus experience in admin, accounts and bookkeeping (ideally in public practice)
  • You've got advanced proficiency in Xero
  • You take initiative, ask smart questions, and follow through without needing to be chased
  • You're comfortable learning new software and picking up processes quickly
