About the Company

A well-regarded local plumbing and maintenance business based in Clontarf is seeking a proactive, detail-oriented Administrative Officer to support their busy operations.

This close-knit team is known for reliability, friendly service, and pride in their workmanship and they're looking for someone who can bring structure, organisation and continuous improvement to their office operations.


The Opportunity

This role is ideal for someone who enjoys organisation, problem-solving, and process improvement.

You'll manage a high volume of incoming calls, coordinate daily jobs using ServiceM8, and act as the professional and friendly first point of contact for customers.

Beyond day-to-day coordination, you'll also help refine administrative workflows, document Standard Operating Procedures (SOPs), and improve efficiency across the office.


Key Responsibilities

Communications & Coordination

  • Handle a steady stream of incoming phone calls with professionalism and care.
  • Schedule plumbing jobs and update job statuses through ServiceM8.
  • Deliver excellent customer service and assist with inquiries or minor issues.

Process Improvement & Documentation

  • Identify ways to improve administrative workflows and implement practical solutions.
  • Develop clear and easy-to-follow Admin Guides and SOPs for consistency.

General Administration

  • Manage job and customer data within ServiceM8 and Google G Suite (Docs, Sheets, Gmail, Calendar).
  • Assist with invoicing, payment tracking, and maintaining digital records.

Skills & Experience

  • Proven experience with ServiceM8 is essential.
  • Confident working with Google G Suite tools.
  • Strong communication skills and a friendly, professional phone manner.
  • Organised, dependable, and able to manage multiple tasks efficiently.
  • Process-focused mindset, you like improving systems, not just following them.
  • Reliable and consistent in attendance.
