We are seeking a highly organised and detail-oriented Service Administrator to join our team. This role plays a key part in supporting our service operations by ensuring the accurate and timely supply of spare parts for service callouts.
About the Role
The Service Administrator is responsible for managing service parts to support technicians in the field. This includes identifying, ordering, and tracking parts, coordinating with service coordinators and warehouse, and handling part returns. The role ensures all parts are delivered on time, accurately recorded in SAP, and aligned with service schedules to provide excellent customer support.
Key Responsibilities
- Assess and identify the correct spare parts for service callouts, including confirming units on site and machine hours with customers.
- Accurately determine and verify part numbers required for each service order.
- Create and process parts orders, ensuring timely procurement and delivery.
- Monitor despatch of parts from works to customers and confirm delivery in SAP.
- Coordinate order dates and logistics with Service Coordinators and the Warehouse.
- Maintain the ZMD list to support effective scheduling of service work.
- Communicate regularly with Service Coordinators to ensure alignment of parts and service jobs.
- Process part returns in conjunction with the Service Administration team and follow up on open return orders.
- Complete material usage postings to maintain accurate inventory records.
- Handle inbound phone calls and provide support as needed.
- Perform other duties as required by the Supervisor/Manager.
About You
To be successful in this role, you will have:
- Strong organisational and problem-solving skills.
- Excellent attention to detail and accuracy in processing orders.
- Ability to manage multiple priorities and work to deadlines.
- Strong communication skills for liaising with coordinators, technicians, and customers.
- Experience with SAP or similar ERP systems (desirable).
- Previous experience in service administration, spare parts, or logistics (highly regarded).
