As the Executive Assistant, reporting to the Chief Executive Officer, you will provide high level efficient, confidential and comprehensive administrative support to the Chief Executive Officer and Gold Coast Senior Leadership team. You will have the ability to manage stakeholder diaries, coordinate schedules, and keep operations running smoothly.

A few of your responsibilities 

  • Provide high administrative support inclusive of calendar and email management, Board papers, internal paperwork, document production and reports, including highly confidential documents, take meeting minutes and actions, and ordering office supplies
  • Coordinate and facilitate meetings inclusive of creating agendas, documenting and distributing minutes, and following up on action items
  • Prepare confidential documents for company presentation and discussions, collect data and compile regular and adhoc reports for key stakeholders
  • Provide administration assistance with department project working groups and internal events
  • Organise travel arrangements for the Senior Leadership team as required
  • Complete and submit expense reports, process invoices and track purchasing requests
  • Handle confidential information with discretion and professionalism
  • Maintain a customer focus at all times, ensuring service delivery is timely, effective and efficient and that it meets both the customer's (internal and external) needs and corporate standards

What we are looking for 

  • Previous experience as an Executive Assistant within a dynamic environment
  • Strong understanding of executive administrative functions and office practices, with expertise in managing documentation, preparing board papers and presentations 
  • Excellent written and verbal communication skills with strong organisational abilities and attention to detail
  • Demonstrated ability to prioritise and organise, along with well-developed decision making and time management skills
  • Experience in organising meetings, preparing agendas, and taking minutes 
  • Demonstrated ability to exercise initiative, discretion, maintain confidentiality and manage a busy workload
  • Comprehensive skills/knowledge of the Microsoft suite of products including Word, Excel and PowerPoint

This is a 3-month secondment opportunity that requires onsite presence Monday to Friday, with flexible availability to accommodate business needs.
