We're looking for a confident and capable Executive Assistant to support our Managing Director. This role is ideal for someone who loves getting things done, keeps others organised, and has the initiative to ask questions and follow up when something's not quite right.

You'll be working alongside a big-picture thinker who sets vision and strategy — your job is to help turn ideas into action.

What you'll be doing

  • Managing calendars, travel, and keeping the MD on track (and informed)
  • Acting as a gatekeeper — protecting time and ensuring communication flows smoothly
  • Following through on projects once the setup is complete — coordinating team training, tracking progress, and making sure things actually happen
  • Documenting processes
  • Reviewing marketing content and EDMs
  • Coordinating internal events (like our Lumos Long Weekend) — logistics, budgets, and deadlines
  • Handling supplier communication, quotes, and general admin tasks
  • Providing daily check-ins and weekly summaries on what's on track, behind, or needs attention

About you

You're proactive, assertive, and detail-oriented — the kind of person who sees something slipping and speaks up. You communicate clearly, ask good questions, and take pride in keeping things moving.

You'll thrive in this role if you:

  • Love organisation, structure, and ticking off to-do lists
  • Have excellent communication skills and aren't afraid to "manage up"
  • Have experience with tools like Asana and HubSpot (or can learn quickly)
  • Are comfortable juggling projects, admin, and coordination work
  • Value flexibility and autonomy, but know when to check in and clarify
