Job Description:

The Business Support & Compliance Assistant is a hybrid role combining of administrative support across accounts payable (AP) and quality assurance (QA).

This position is supporting the Finance team with financial administration and the Quality Assurance team with compliance and documentation processes.

Key Responsibilities Include:

Administration

  • Handle incoming and outgoing mail, deliveries, and couriers.
  • Order and maintain office supplies and stationery.
  • Provide general administrative support to departments as required.

Finance Support (AP)

  • Support the processing of accounts payable transactions.
  • Reconcile customer and vendor accounts.
  • Monitor AP inbox and support invoice workflow.
  • Maintain accurate customer and supplier data in MYOB and internal systems.
  • Assist it month end process
  • Assist in bank reconciliation

Quality Assurance (QA) Support

  • Maintain and update QA registers and documentation.
  • Ensure adherence to company QA checklists and procedures.
  • Support internal audit preparation and compliance documentation.
  • Coordinate collection and archiving of QA records from all departments.
  • Follow up on corrective and preventative actions (CAPAs) with relevant teams.

Additional Responsibilities

  • Collaborate with Finance and QA teams on selected projects and initiatives.
  • Support implementation of process improvements and system upgrades.
  • Ensure confidentiality of sensitive financial and compliance information.
  • Assist with digital file management and shared drive organisation.

About You

You're an office administrator or receptionist looking for your next challenge.

Your skills will include,


• Prior experience in a receptionist or administrative support role.


• Demonstrated experience in accounts receivable and accounts payable processes.


• Previous exposure to finance or quality assurance environments is desirable.


• Proficient in Microsoft Office, especially Excel.


• Experience with MYOB is an advantage.


• High attention to detail and commitment to data accuracy.


• Excellent interpersonal and communication skills.


• Strong organisational skills and ability to manage multiple priorities.


• Positive, proactive attitude and a willingness to learn.


• Comfortable working across teams and following structured processes.
