Make a real impact from day one.

We're a wholesale food distribution business creating a brand-new Executive/Personal Assistant role to support a fast-moving CEO. You'll set up the EA function, keep across everything that matters, and anticipate what's needed before it lands.

The Role

You'll be the CEO's right hand, establishing rhythm, systems, and standards from scratch. You won't just react, you'll read the play early; lining up meetings, prior agenda/information, and record actions so the CEO and leadership team stay a step ahead.

Your Responsibilities:

  • Develop the EA function for a CEO who hasn't had a EA before. Including diary discipline, inbox triage, file/record systems, meeting rhythm, and action tracking.
  • Own the CEO's priorities and workflow, sequencing meetings for impact and protecting focus time, team development time, critical customer attention and importantly support the restoration of a work/life balance.
  • Draft emails, talking points, board/leadership packs, agendas, and crisp follow-ups with clear owners and deadlines.
  • Track projects and risks; keep stakeholders moving and the CEO informed with tight summaries.
  • Coordinate travel, events, site visits, supplier/customer meetings, and logistics end-to-end.
  • Manage expenses, approvals, and simple contracts; keep records tidy and audit-ready.
  • Build strong relationships across the business, represent the CEO with presence, professionalism and authority to ensure priorities are actioned and outcomes delivered. Confidently driving follow-through and accountability across the business.
  • Safeguard confidentiality; identify gaps early and propose practical fixes.

Your experience:

  • Proven EA/PA experience supporting a CEO or business owner.
  • Set up or rebuilt an EA function and lifted cadence, communications, and reliability.
  • Strong written and verbal communication; you turn rough notes into clear, useful documents.
  • Fierce organisation and follow-through—nothing gets lost.
  • Sound judgement, discretion, and a solutions mindset.
  • Calm under pressure and comfortable re-prioritising when plans change.

  • Travel, meetings, and site visits running smoothly without last-minute scrambles.
