The team

The Digital, Data & Technology (DD&T) group drives transformational change and delivers core technology services across ASIC. It comprises teams IT, Cyber Security, Data, Analytics & AI, Digital Hub, Portfolio Office, Business Management Unit (BMU), and the RegistryConnect and Digital Delivery programs.

BMU provides executive support and business management services, focusing on strategic planning and continuous improvement to enable smooth daily operations and help DD&T leadership achieve their priorities.

The role

The Business Coordinator is part of the BMU team and plays an important role in coordinating a range of DD&T Group activities, working closely with executive leadership team to contribute to the operational effectiveness of the DD&T Group. You will play a key role will coordinating group-wide business processes, enhancing internal communications and engagement, streamlining operations and driving continuous improvement. This is a dynamic position that supports collaboration across the group and other ASIC business groups, to contribute to the delivery of ASIC's broader objectives.

You will be accountable for:

  • Proactively supporting the Executive Director (ED), Senior Executive Leaders (SELs), and other stakeholders with timely information and insights.
  • Helping to define, communicate, and continuously improve the BMU's service offering including leading and supporting the delivery of strategic and operational BMU initiatives.
  • Actively contributing to a caring and collaborative team environment, encouraging curiosity, sharing knowledge and expertise to build team capability and cohesion.
  • Identifying and facilitating business improvement opportunities, with a focus on increasing efficiency and effectiveness across the DD&T Group.
  • Undertaking a range of responsibilities as set out in the attached Position Description including:
  • coordinating and overseeing the progress of large volume DD&T recruitment in partnership with the People & Culture Group, including running weekly management progress meetings and maintaining the portal.
  • coordinating rewards and recognition program, including maintenance of the portal, dashboard, records, and presentations.
  • supporting the internal communications strategy; uplifting and maintaining SharePoint sites, communication materials and content for all staff forums.
  • monitoring BMU and communications mailboxes, ensuring timely triage and responses.
  • coordinating secretariat duties for Executive Director, including governance papers and parliamentary briefs.
  • uplifting governance and business operations using digital and AI tools.

About you

You will ideally have the following skills & experience in a corporate or government environment:

  • Strong background in business administration/management, project coordination, planning, and reporting in a fast-paced environment
  • Skilled in stakeholder engagement and relationship building
  • Excellent written and verbal communication; ability to convey complex ideas and influence decisions
  • Experience collaborating with senior executives and cross-functional teams
  • Highly proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Skilled in SharePoint content creation and maintenance
  • Strong organisational, coordination, and time management skills
  • Knowledge of ASIC's government and regulatory role
  • Self-starter with accountability and autonomy
  • Strong problem-solving skills and business acumen
  • Vocational or tertiary qualifications
