About the role:
This role is to provide day-to-day operational support across Verian Australia and the wider APAC region as required. Working on office and clients operations including marketing, client delivery and internal staff communications, events management, executive support to various levels of leaders, Finance, HR and project administration. This role will oversee all marketing activity and client communications, plus support in the smooth running of business operations across Australia.
Key Responsibilities:
Office Operations & Event Management
- Assist managers and HR to create the best employee experience with new employee inductions and onboarding schedules as well as managing the offboarding process, ensuring all equipment is returned
- Support in the activation of wellbeing activities and company benefits
- Accountable for the management of the mobile phone account; and ensuring changes are actioned in a timely manner
- Arranging travel and accommodation for teams across Australia as required
- Organise and set up internal and external events from end-to-end including venues, logistics, catering and budgets
- Management of all office access and locker allocation as well as the replacement for damaged/lost swipe cards
- Ordering all office and stationary supplies e.g. IT equipment, catering, snacks etc.
- Management of facilities maintenance, fire wardens, security, office equipment etc. where applicable
- Advocate for a safe working environment by recording all near misses, hazards and incidents.
- Arrange staff and client gifts as well as company merchandise as required
- Raising IT service requests where an issue impacts multiple people / office wide and liaising with the appropriate people to ensure a speedy resolution
- Be a point of escalation for Australian IT tickets when required, connecting impacted users with the right technology contact
- Work with the IT provider to help maintain any IT assets liaising with them for access to the Verian office.
- Act as a support back up for offices in the APAC region when required
Executive support
- Supporting regional, national and state leaders with setting key meetings and travel on an as needs basis.
- Supporting regional and country leaders with expenses and various admin on an as needs basis.
Finance, HR & Project Administration
- Accountable for creating all office purchase orders for Australia
- Support the commercial director with the implementation of business systems as required including but not limited to S4Hana, and Concur – directing any queries to the relevant contacts
- Liaise with the business to support the creation of new vendors and clients and keeping details up to date
- Keeping accurate records of transactions placed on the company card, and liaising with stakeholders when top ups are needed and reconciling the office card
- Ensure all administration and office invoices that are received are correct and actioned in a timely manner through the entire payment cycle (raising PR, converting PO and forwarding to Accounts Payable)
- Support the client services team with editing, formatting, and data visualisation of external documents and reports and other ad hoc support as required
- Ensure all ISO requirements are met on proposals and reports, and support on document management and audit preparation – support to Commercial Director in internal and external quality audits.
- Support the business with incentives for research participants
- Coordinate national meetings and newsletter communications as required
- Support HR with training coordination, registration, and logistics management
- Plan and execute staff engagement events, team building activities, and regional gatherings as required
- Ad hoc duties as required
Marketing Support
- Create and maintain client records within the HubSpot environment
- Manage the HubSpot (or relevant system) environment including content calendars and cadence of communications
- Manage all Verian local websites with up-to-date content (Australia)
- Manage all client events and activities, supporting Federal and State Directors
Role capabilities:
- Ability to work well under pressure, prioritising important tasks while managing expectations.
- Excellent communication skills at all levels, ensuring the right messages are conveyed.
- Proven experience managing senior stakeholders' diaries; therefore, confidentiality is key.
- Being adaptable to ever changing circumstances.
- Is a self-starter and proactive with strong attention to detail.
- Demonstrated experience across the Microsoft office suite.
