The United Grand Lodge of Queensland (Freemasons Queensland) is a fraternal organisation whose members strive to live by the principles of integrity, good will and charity.

The General Board of Directors of Freemasons Queensland has responsibility for conducting the business affairs of the organisation and the Grand Secretariat administers the operational aspects. The Grand Secretariat aims to operate as a genuine and effective 21st Century Customer Service centre, ensuring efficacious service delivery and high level of customer satisfaction for our members.

The Grand Secretary is seeking to appoint a suitably qualified individual to the position of Office Manager. The successful applicant will be supporting the Grand Secretary in achieving the targets outlined in the UGLQ Vision and Purpose.

Duties

The duties and responsibilities will include but are not limited to:

  • Lead with UGLQ values in all domains of work and:
  • Supervise, mentor, provide training and manage performance of administration staff
  • Provide high level administrative support to Grand Secretary
  • Liaise with Grand Secretary regarding complex membership matters
  • Manage Yearly Masonic events calendar and assist with event planning
  • Provide oversight of administrative functions including:
  • Phone Enquiries and Email Management
  • Grand Lodge Visitation enquiries (accommodation, transport, presentations, etc.)
  • Preparation of documents for meetings and quarterly communications
  • Preparation and issuing of announcements
  • Coordination of appointments for Masonic Centre visits
  • Contact or cause to be contacted individuals within UGLQ regarding financial matters (e.g. debtor management, account issues)
  • Provide secretarial support to General Board of Directors
  • Other duties as required

Selection Criteria

  • Proven ability to lead a team to deliver high quality customer service
  • Excellent written communication skills and effective interpersonal and oral communication skills
  • Excellent computer literacy skills with proven experience in the use of Microsoft Office suite and CRM software
  • Demonstrated high level analytical and problem-solving skills
  • Demonstrated experience in a fast-paced and complex client services environment
  • Capacity to gain knowledge of relevant policies and procedures
  • Proven ability to work cooperatively with a range of stakeholders

Desirable Criteria

Experience in the following would be highly regarded:

  • 'onboarding' and 'off boarding' staff
  • providing high-level administrative support to Boards and committees, including preparing agendas, compiling papers, recording minutes, and maintaining accurate records
  • supporting governance compliance, including maintaining registers (e.g., conflict of interest, delegations, risk), and assisting with annual reporting requirements.

Renumeration and conditions of employment, commensurate with the responsibilities associated with the position, will be negotiated with the successful applicant.
