Publicis Groupe is looking for an Experience Coordinator to join their busy but fun Experience Team in our stunning Pyrmont Office.
The Role:
The Experience Coordinator role is key to the success of the business, by maintaining our space to enable smooth running of the day to day. You will be supporting the Experience Manager/s in our office space which will involve routine work as well as assistance with the ebb and flow of the agency's demands.
Alongside the other members of the Experience Team, including the Experience Manager and Experience Executives, you will be responsible for ensuring that the overall operation of the office is at the highest standard for both visitors and our people with everything they need to do a great job.
What you'll be doing:
- Support Experience Team in creating an upbeat environment on the floors.
- Contribute to the organisation and execution of events.
- Maintain stock levels of refreshments across floors in kitchen breakout, tea stations, coffee machine areas, snack cupboards
- Conduct weekly inventory of office supplies, groceries and drinks and ordering with suppliers as needed.
- Maintain all shared print areas and utilities are well stocked, organised and replenished to a high standard.
- Respond to staff stationery and print requests.
- Organise weekly milk and bread deliveries, monitoring all 'use-by' or 'best before' dates and exchanging when required.
- Collect and distribute any mail or packages to staff on floor from reception daily.
- Arrange any couriers for collection. Liaise with ground floor reception for collection
- Responsible for the presentation standards of the shared meeting rooms.
- Ensure water, drinks and refreshments are available for guests as requested.
- Ensure all rooms are AV ready for meeting rooms & resolve any IT issues.
- Ensure all drinks, breakfast items & cutlery/crockery are stocked well and always available.
- Escalate any maintenance issues on floor and arrange/find suitable solutions.
- Assist with set up of events and liaise with other experience team members when needed.
What you can bring:
- Experience working in a customer service-related role: e.g. reception, office assistant, hospitality, retail, airlines, hotels.
- Senior First Aid training an advantage.
- Intermediate Microsoft Office skills.
- Be an engaging, personable individual with a positive and outgoing demeanour.
- Committment to sustainable workplace practices.
- High standard of presentation, both personally and in your surroundings.
- Great team worker and calm under pressure.
- Can operate effectively with little or no supervision and can manage multiple tasks at once without becoming overwhelmed.
- Proactive and solutions focused – able to anticipate issues before they arise.
- Comfortable communicating with senior stakeholders, internal and external.
