To assist the senior Owners Corporation Managers in day to day Owners Corporation Management, to provide specific project support, to coordinate and manage the existing client contracts and properties.

Additionally, this role is responsible for managing communication between team members, external clients, service providers, local and government authorities, property developers, promoting effective and efficient workflow practices and highly accurate management of client requests and property portfolios.

Working with senior managers to consistently achieve client service levels.

We are looking for one Assistant Manager who is either currently working in the real estate industry or fresh graduates with accounting / business management qualification. This role will provide you with great opportunities to learn multiple facets including accounting, building, property and project management. You will also have the opportunity to grow into a senior Owners Corporation Manager.

KEY RESPONSIBILITIES

  • Assist with Owners Corporation Management, including meeting scheduling, preparing meeting notices and minutes, attending to general maintenance requirements, drafting written correspondence, assisting with general administrative queries from clients.
  • Enter data, invoices, payment receipts and some other documents as required, ensuring validity and accuracy.
  • Follow up on outstanding payments, maintain records and provides reports as required.
  • Provide word processing support as required, including preparation of submissions, reports, papers, letters and general office correspondence.
  • Assist with back up telephone and reception – take messages, meet clients and provide general assistance with receiving and relaying incoming calls and mail.
  • General office support including arranging of appointments, assistance with meetings, general clerical work – filing, copying, mail, couriers and banking support.
  • Assist with office projects from time to time – providing administrative and clerical support, research support and support with presentations and report writing etc.
  • Comply with general office policies, procedures and all legal requirements.
  • Assist with Owners Corporation Manager and Senior Accounts Manager with any other office tasks.

EXPERIENCE REQUIRED / DESIRED

  • A Bachelor's degree in accounting, property, business management or related areas is required.
  • Desired but not essential - office administration experience with a service based company.
  • Proven success in customer service and issues resolution.
