About the role
We are seeking a dedicated and experienced Client Service Administrator/EA to join the dynamic team at Quantum Accounting and Advisory Pty Ltd. This full-time or part-time role is based in our Osborne Park, WA office and will provide vital administrative and executive support to our respected accountants.
What you'll be doing
- Providing a high level of customer service and administrative support to our valued clients
- Handling all incoming calls and enquiries in a professional and efficient manner
- Maintaining detailed client records and databases
- Organising and coordinating client meetings and events
- Assisting with the preparation of client reports and presentations
- Performing general office administration duties as required
What we're looking for
- Proven experience in a client service or executive assistant role, ideally within a professional services environment
- Excellent communication and interpersonal skills with the ability to liaise confidently with clients and colleagues
- Strong organisational and time management skills with a keen eye for detail
- Proficiency in using Microsoft Office suite, including Word, Excel and PowerPoint
- Adaptability and the ability to work independently as well as part of a team
- A friendly, professional and discreet demeanour
Your day-to-day responsibilities will include:
- Maintaining our client data, printing reports and raising invoice through Xero XPM and FYI Document Management.
- Maintaining the team workflow schedule through FYI and Xero XPM
- Maintaining an Accountant's Trust Account on Handi Trust - Experience beneficial but not mandatory.
- Assisting with data collection from clients
- Liaising with the external accountants and maintaining their workflow
- Printing reports and maintaining superfunds data in SF360
- Liaising with the auditor in all aspects
- Collation of client information and sending via FYI secure portal or post
- Printing reports and maintaining Corporate Compliance as a registered ASIC agent on CAS360
- Attend to lodgement of various ATO obligations
- Dealing with the ATO in all aspects to assist our clients and accountants
- Apply for new ABN/TFN/GST and update the ABR Records as required
- Responsible for ATOmate document control and daily mail
- Maintain team diary via Outlook, prepare team meeting minutes and reports
- Ad-Hoc administration duties as requested to assist the team workflow
