We are now seeking an Administration / Accounts Assistant to provide high-quality administrative and data entry support to our Management, Sales, Finance, Supply Chain, and Quality Assurance teams for our Australian and New Zealand offices. This is a varied and dynamic role where no two days are the same, and you'll have the opportunity to work across multiple business functions.

Position Summary

The Administration / Accounts Assistant provides administrative and data entry support to the Australian and New Zealand offices. This includes supporting multiple teams with documentation, reporting, invoicing, and office coordination tasks, ensuring accuracy, compliance, and excellent service to internal and external stakeholders.

Key Responsibilities

Australian Office:

  • Provide administrative and data entry support to Sales, Supply Chain, and Quality Assurance teams, including reporting and spreadsheet maintenance.
  • Assist Finance with invoicing, payment receipts, reporting, and data entry.
  • Coordinate events and activities, including ordering, catering, set-up, and pack down.
  • Manage general office administration, including travel bookings.
  • Answer and direct incoming calls.
  • Undertake other administrative duties as required.

New Zealand Office:

  • Assist the Sales Account Manager with processing repair order requests and organising freight as required.
  • Support Finance with invoicing and data entry.
  • Provide general office administration support, including travel bookings as required.
  • Undertake other administrative duties as required.

Skills and Competencies

  • Strong organisational and time management skills with the ability to prioritise competing tasks.
  • High level of attention to detail and accuracy in all work.
  • Excellent written and verbal communication skills.
  • Strong customer service focus and the ability to build positive working relationships.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work collaboratively in a team environment and independently when required.
  • Flexibility and adaptability to meet changing priorities.
  • Initiative, problem-solving skills, and a proactive approach to tasks.
  • Eagerness to learn and develop new skills.

Education and Experience

  • Previous experience in administration, accounts, or office support preferred.
  • Experience with finance-related tasks such as invoicing and payment processing highly regarded.
  • Experience in supporting a sales and/or account management team preferred
  • Event coordination or travel booking experience will be an advantage.
