We are excited to announce an opening for the position of Administration Assistant/Co-Ordinator at our company We are seeking a highly organised, proactive, motivated, and enthusiastic person to become part of our amazing team working closely together with our awesome office coordinator Kelly, and our team of technicians.
The role is based in our warehouse/office in North Geelong. Work time is approx. 24 hrs/week across 3 days a week. The work days we are looking for are Wednesday, Friday, and one other with the flexibility to choose the hours that suit you (between the hours of 7am - 5pm).
No after hours or weekend work required, with the possibility of working from home in the future.
Responsibilities:
- Co-Ordinating and providing administrative support.
- Handling phone calls, emails, and other communications efficiently.
- Scheduling jobs and the initiative to be able to adjust the schedule to suit the requirements of the day.
- Be the first point of contact, answering telephone calls and emails and responding accordingly.
- Entering, maintaining and managing work orders in our job management system.
- Invoicing using Quickbooks
Requirements:
- Strong organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to communicate confidently and book / sell inbound work enquiries.
- Strong attention to detail.
- Strong computer skills, and the ability to adapt to and learn varying software programs (Quickbooks / Formitize).
- Minimum 5 years Prior experience in an administrative role.
- Ability to multitask and work effectively under pressure.
- Be competent with accounting programs (QUICKBOOKS).
- Confident communicator and ability to effectively liaise with team members and clients.
- Ability to work autonomously.
- Comfortable with managing a very wide variety of tasks.
