About the Role

It involves co-ordination of time-sensitive and high-volume activities to ensure the efficient and effective execution of REX programs, projects, engagements and events. These activities require a high attention to detail, and the ability to prioritise and make decisions on a daily basis. The role also includes stakeholder and facilitator management and technical support for core REX systems including the REX Learning Management System

Duties

Management of REX operations:

  • Coordinate end to end program tasks including management of the Program Master Planner, set up and running of a wide range of virtual and face to face programs, facilitator and participant liaison, and post event reporting.
  • Support the Agency Specific Program application and coordination processes. This involves responding to all agency enquiries relating to the process, review panel management, liaison with agencies to schedule programs, leading briefing calls with the agency and facilitator, and coordinating all program logistics including follow up tasks.
  • Assist with delivery of the bi-annual REX open enrolment program schedule including all logistical, scheduling and procurement activities to set up all programs.
  • Develop post program reports and adhoc reports upon request from agencies, CEMs and other stake holders
  • Monitor the REX inbox and take phone calls. Provide timely responses to agency and stakeholder queries and undertake follow up actions.

Project Management

  • Provide essential administrative and coordination support to the team, helping to ensure project tasks and events are delivered efficiently and successfully.

REX Budget

  • Contribute to the development and monitoring of the REX budget
  • Manage the REX procurement activities including vendor engagement, quote management, creating purchase orders, payment of invoices, managing approvals and accruals.

REX Technical and Systems

  • Maintain the REX LMS to ensure program and attendee information is updated and complete after each program, and provide a technical support and escalation point for those we serve.
  • Support technical upgrades that impact REX including the Insurance for NSW portal and Salesforce. This includes scoping REX requirements and participating in project teams to execute changes

Stakeholder liaison

  • Work collaboratively and build strong relationships with internal and external stakeholders such as facilitators, client engagement managers, external legal and claims providers, internal icare SME's & agencies to plan and execute the delivery of REX programs

Skills & Expertise

  • Demonstrated experience managing high volume, administrative end to end activities, preferably in an L&D environment, and management of a range of stakeholders, internal and external
  • 5 years+ experience in a corporate or government organisation managing high volume operational activities and project management tasks, ideally in a learning or education function
  • End to end events management experience including virtual and face-to-face in either a educational field or other industries would be highly regarded.
