Job Description
Reporting to the Executive Director, People, Culture, Risk & Sustainability, the Team Administrator plays a pivotal role in supporting the effective delivery of People & Culture (P&C) operations and office management across the organisation. This role is responsible for maintaining accurate employee records, coordinating administrative processes, and ensuring compliance with P&C policies and procedures. The Team Administrator provides essential support across recruitment, onboarding, reporting, and general P&C queries, while also managing day-to-day office operations to ensure a safe, efficient, and welcoming workplace. Working closely with the broader People & Culture team, this role contributes to a positive employee experience and supports the smooth functioning of P&C systems and processes.
Key Responsibilities Will Include
- Provide general administrative support to the team, and respond to employee queries.
- Assist with coordinating meetings, events, and training activities.
- Support employee programs and recognition initiatives.
- Help manage expenses and basic reporting.
- Support recruitment activities, including advertising roles and assisting with candidate selection.
- Manage the onboarding process for new hires.
- Assist with the employee offboarding process and and maintain up-to-date team records.
- Maintain accurate employee records and support HR system administration e.g. ELMO or similar platforms
- Assist with employment documentation and lifecycle processes.
- Help ensure compliance with HR policies and procedures.
- Support payroll notifications and updates.
- Contribute to updating HR documents and resources.
- Generate regular and ad hoc HR Reports.
- Oversee daily office operations and ensure a safe, well-organised workplace.
- Manage office supplies, equipment, and vendor relationships.
- Coordinate workspace allocation and support facilities and IT needs.
- Liaise with building management as required
- Participating in ad hoc projects lead by P&C team and leading smaller projects on an as need basis
Desired Skills And Experience
To be successful in this role you will have:
- Strong administration and organisation skills – ability to manage multiple tasks, prioritise effectively, and maintain attention to detail
- Excellent communication skills – ability to communication confidently with stakeholders at all levels
- Proficient in using outlook, word, excel and powerpoint
- Ability to work with HR systems e.g. ELMO or similar platforms
- Event coordination skills– ability to plan and execute internal events, including logistics, communications, and stakeholder engagement
- Ability to do basic financial administration including invoice processing and budget tracking
Experience
- Prior experience in an HR administrative or support role
- Exposure to recruitment and onboarding processes
- Experience coordinating meetings and events
- Familiarity working with systems
- Experience managing office operations including facilities coordination
