Who are we looking for?
We're looking for an organized and proactive Administrative Assistant to join our Management & Administration team in St. Leonards, New South Wales.
In this diverse role you will:
- Conduct data entry into company systems, and review and verify the information to ensure accuracy and accessibility.
- Oversee office operations if needed (cover team member on leave) and provide overall support to admin team
- Open and distribute mail, and use form letters or emails to respond to routine requests
- Schedule appointments, make arrangements for meetings and conferences, and organize travel plans, following detailed instructions to facilitate business meetings.
- Organize own work schedule in order to get the job done, coordinating with support services and assigning short-term tasks to others if necessary.
- Create, organize, and maintain files containing the correspondence and records of a senior colleague.
- Prepare routine letters, memoranda, reports, and similar documents following detailed instructions. This is likely to involve using the full range of functions within standard office software.
- Produce accurate reports for others by collecting data from a variety of standard sources and inputting it into standard formats.
- Help manage internal client relationships by carrying out simple procedural tasks.
What would you bring to the team?
- Experienced in administration or similar with strong problem-solving skills
- Experienced in customer service with the ability to manage confidential information
- Be meticulous with high attention to detail, a proactive mindset who is passionate to plan, prioritize and be results and team orientated.
- Effectively use standard office equipment and standard software to support business (Microsoft Office applications, intermediate level in Excel, PowerPoint, PDF, MS Office applications), prepare Minutes of Meetings,
- Fluent in Word Docs, GHD Templates (customize formatted docs) for Bids proposals, tenders and the likes
- Preferably with EA/PA experience but not limited to reception
- Well-versed in communicating both verbal and written especially in attending to clients' needs and can navigate customer conversations
- Fosters building positive relationships as well as working well under pressure with deadlines
- All-rounder, proactive, skilled and dominant personality who can step in whenever the need arises
- Flexible in supporting the region; can be assigned to other NSW offices (Piccadilly and Paramatta) if NEEDED (to cover for team members on leave)
- Must be amenable to work fully onsite to assist in daily office operations (Full onsite)
