Client Care Coordinator
to support our clinicians, manage events and communications, and ensure seamless day-to-day operations.

Your Role

This is a pivotal position supporting the smooth operation of the clinic. You'll be the central point of contact for coordination, client engagement, and marketing efforts.

Key Responsibilities:

  • Manage and optimise daily clinician schedules across a multidisciplinary team
  • Coordinate therapy groups, seminars, and webinars – including all logistics (marketing, catering, bookings, communication)
  • Triage and manage incoming referrals via phone and online platforms
  • Liaise with internal and external stakeholders to coordinate assessments and appointments
  • Organise supervision timetables for clinicians
  • Manage practice social media scheduling and content, and contribute to digital marketing campaigns
  • Collaborate with website/SEO teams to maintain online visibility and engagement
  • Oversee ordering of clinical and assessment materials
  • Assist with sufficient invoicing when needed
  • Provide exceptional, empathetic service to clients and families

What We're Looking For

You'll thrive in this role if you are a confident and capable coordinator with prior experience in a fast-paced, client-facing admin role—ideally in a healthcare or allied health setting.

Essential Attributes:

  • Minimum 2 years' experience in an administrative, coordination, or client support role
  • Highly organised, with a proven ability to manage competing priorities
  • Strong written and verbal communication skills, with a client-focused approach
  • Proficient with Microsoft Office Suite and Practice Management Software
  • Experience with (or strong understanding of) social media and digital content tools
  • Friendly, flexible, and able to work independently as well as within a team
  • Familiarity with the mental health or allied health sector is highly regarded
