Role Description

We are currently seeking a motivated and compassionate Client Intake Coordinator to join our dedicated Intake Team. This role is at the heart of our services, supporting clients, clinicians, and external partners to ensure every referral and booking is handled with care, efficiency, and professionalism.

This is a full-time, on-site role for a Client Intake Coordinator located in Mt Lawley, Perth, WA. The Client Intake Coordinator will manage incoming client calls and enquiries, schedule appointments, and provide excellent customer service. They will handle administrative tasks, such as maintaining accurate records and communication with clinicians.

Key Responsibilities:

  • Manage incoming client calls, emails and enquiries with warmth and professionalism.
  • Schedule appointments and match clients with clinicians based on their needs and preferences.
  • Maintain accurate records and client information in our systems.
  • Liaise with psychologists, practice leads, and referral partners to coordinate care.
  • Support intake processes across multiple funding streams, including private, Medicare, EAP, NDIS, and Insurance.
  • Provide general administrative support to ensure efficient clinic operations.

Qualifications

  • Strong Communication and Customer Service skills
  • Excellent organisational and multitasking abilities
  • Proficiency with office software and appointment scheduling systems
  • Ability to work effectively in a team environment while maintaining client confidentiality
  • Prior experience in a healthcare setting is a plus
