About the role:

This is a full-time administrative role working Monday to Friday, from 8:00am to 4:30pm. A typical day involves managing a high volume of incoming phone enquiries from families, clinicians, and other stakeholders. The successful candidate will be responsible for booking appointments across various paediatric specialties, accurately directing calls to the appropriate departments or personnel, and ensuring clear and professional communication at all times.

You will be guided and supported by experienced staff members who are familiar with the demands and workflows of the service. A structured orientation will be provided to ensure a smooth transition into the role, including:

  • Comprehensive training on internal systems and booking software to ensure accuracy and confidence in daily tasks.
  • Shadowing opportunities with experienced team members to gain practical insights into the role.

Ongoing support will include regular feedback to assist with professional development and continuous improvement. Staff are encouraged to identify learning opportunities, and there will be access to ongoing education and training resources, including updates on system changes, communication skills, and relevant administrative processes.

This role is well supported with a strong team culture that values growth, collaboration, and shared success.

Where you'll be working:

You will be working within a dynamic paediatric service that operates across multiple sites. The unit supports several paediatric specialties, providing a fast-paced and challenging environment that demands flexibility, attention to detail, and a commitment to high standards of care.

This role is based in a well-equipped, modern facility with access to multidisciplinary teams and specialist services. Our team culture is collaborative, supportive, and highly professional – you will be working as part of a cohesive team, ensuring continuity and quality of care across sites. Given the high-demand nature of our services, attendance and reliability are critical. We foster a culture of mutual respect, open communication, and shared responsibility, where every team member plays a vital role in delivering exceptional care to children and their families.

About you:

We are seeking a candidate who demonstrates the following key skills and attributes:

  • Attention to Detail (Non-Negotiable): Accuracy is critical in this role, particularly when handling appointment bookings, patient information, and communication across multiple specialties.
  • Clear and Accurate Communication (Non-Negotiable): The ability to communicate professionally, both verbally and in writing, is essential when dealing with families, clinicians, and team members.
  • Reliability and Strong Work Ethic (Non-Negotiable): Given the busy nature of the service and the importance of continuity, punctuality and consistent attendance are crucial.
  • Teamwork and Collaboration (Non-Negotiable): The ability to work effectively as part of a team, across multiple sites, is vital to ensure a seamless service.
  • Adaptability and Resilience (Highly Valued): The environment is fast-paced and priorities can shift quickly, so being adaptable and remaining calm under pressure is important.

What Can Be Learned:

  • Specific systems and software used in our service (e.g., booking systems, internal communication tools).
  • Knowledge of paediatric specialty workflows and terminology.
  • Site-specific processes and escalation pathways.

We are committed to supporting the right candidate to build confidence and competence in these areas with the right attitude and foundational skills.

Additional Information:

  • To be eligible for permanent employment in this position you must be an Australian Citizen, or a permanent resident of Australia, or a New Zealand citizen with a current New Zealand Passport. Employment of a temporary visa holder may only occur if no suitable local candidate is identified for the position; in this instance, you may only be offered employment in line with the conditions and expiry date of your visa.
