About the Role:
We are looking for a collaborative and detail-oriented event sales management professional who enjoys both confirming business and executing the finer details of the event - planning, communication, event order creation to final settlement of account. You will either have a background in hotel sales and/or events and be ready to take your career to the next level. The position reports to the Director of Conference & Events.
Key responsibilities include:
- Attend the daily departmental briefing, weekly Event Order meeting weekly meeting with Director of Event Sales, weekly Sales Meeting and other interdepartmental meetings where requested
- Focus on building good relationships with all departments within the hotel as well as those with clients.
- Generate Event Orders for upcoming functions / meetings, conferences and events in a timely and accurate manner
- Inform the relevant departments and senior management of any events that may impact the hotel operation
- Maximise revenue opportunities using the framework of minimum spends and room rentals to ensure we maximise all catering space and accommodation. Up-selling with all group and incentive business.
- Once file is handed over ensure all details of the group are accurately input into Delphi
- Communicate all client requests to the operational teams within the hotel effectively
- Ensure accommodation contractual conditions are followed
- Meet and farewell all clients ensuring they have been handed over to the Operations team and are comfortable
- Ensure thorough follow up and entry into Delphi takes place
- Comply with all Corporate and Hotel Standards and Procedures
- Actively promote a work environment which cares for guests and associates alike
- Ensure compliance with legislated health and safety requirements within the workplace
- Communicate function amendments in a timely manner to all necessary stakeholders including banquet operations and kitchen
- Adhere to all hotel policies, especially timelines and accuracy of billing and invoicing
- Provide clear communication of set-up and other customer needs to banquet operations
- Meet customers on first arrival to the Hotel to affirm our level of attention and introduce to banquet operations employee
- Ensure revenue information is up-to-date to improve performance in revenue forecasting and manpower planning, keeping the event record updated at all times.
- Maximise revenue and profitability for the hotel at every opportunity, using specific up-selling and enhancement techniques as appropriate.
- Support and collaborate with the sales team to maximize revenue opportunities
- Maintain strong working knowledge of the Hotel facilities and capabilities including audio visual, accommodation, group arrival and event space best-fit/best-use
- Communicate in a timely manner any customer feedback to operations and executive office and respond swiftly and with direction to customer
- Maintain an open and professional attitude, acting with integrity at all times
- Support the Hotel operation by assisting on peak performance dates as lobby welcome assistance or menu plate- up
- Consult with Executive Chef to prepare specialized or promotion menus
- Collaborate with the Sales team to identify accounts with greater opportunity and work together to create stronger customer relationships
- Effectively implement and support all Fullerton related programs.
- Prepare presentations and other promotional material to best present the hotel, targeted per customer type
- Direction and support to the Coordinators to assist with proposal, event database and contract / event order preparation
- Work respectfully and collaboratively with the local and global representative offices to uncover opportunities for the Hotel and respond to customer enquiries in a timely manner
- Act as a consultant for customers, understanding their full event brief and make necessary introductions to sister hotels under the relevant program
- Support the coordinator and intern's learning and well-being through timely and supportive communication
- Note - the balance of account execution and proactive selling activities changes based on individual goal performance and business needs
- To work as and where directed by Management including follow all reasonable requests
The Requirements:
- Full working right in Australia
- A background in Sales, Business, and Event Management Education is preferred, but not essential.
- 3 Years in Event manager role in the 5-star Hotel environment.
- Achievement of targets
- Excellent in Communication skill- Confidence in customer face to face and phone contact
- Has attention to detail
- Our successful candidate has the ability to learn quickly
- Shows drive and initiative
- Please note, the position is Mon-Fri at Office, however occasional afterhours work is required to ensure key customer event satisfaction
