THE ROLE

We are looking for an experienced and motivated Administration Assistant to join our team in January 2026. Reporting directly to the Business Manager & Practice Manager and supporting our three Directors, you will play a pivotal role in ensuring the smooth operation across our offices. This is a varied and hands-on role, offering the opportunity to work within a creative environment while contributing to the success of our business operations. You would work across 2 locations to support the team in both offices: 4 days from either Inner West (Croydon) or Blue Mountains (Springwood) office, 1 day from the alternate office.

KEY RESPONSIBILITIES

  • General office administration duties including answering phones, managing emails, mail handling, and ordering supplies
  • Supporting the Business Manager in daily administrative and operational tasks
  • Assisting with office management across two locations
  • Coordinating meeting agendas, preparing reports, and taking minutes
  • Organising internal and external events, staff functions, and client meetings
  • Managing data entry into accounting systems and assisting with invoicing and basic bookkeeping tasks
  • Providing executive assistance to three Directors
  • Travel management for leadership team
  • Ensuring smooth day-to-day running of the office and maintaining a professional and welcoming environment

DESIRABLE SELECTION CRITERIA

  • Minimum of 2 years' experience in an administrative role
  • Experience supporting management and/or senior leadership
  • Exceptional organisational, interpersonal, and communication skills
  • Ability to prioritise, work under pressure, and manage multiple tasks efficiently
  • High level of attention to detail and professionalism
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Working knowledge of Adobe Design Suite and Xero
  • A proactive attitude and willingness to take initiative
