Position Overview

We are seeking a dedicated and proactive Receptionist / Migration Case Worker to join our small, supportive team. This full-time role is ideal for someone who is organised, personable, and willing to assist across all areas of office administration and migration case support. You'll play a key role in maintaining the day-to-day operations of our office while contributing to meaningful work in the migration field.

Responsibilities

  • Greet clients and visitors with a warm and welcoming demeanour, ensuring a positive first impression of the company.
  • Answer and manage incoming calls, directing them to the appropriate team members in a professional manner.
  • Schedule appointments and manage the office calendar to optimise efficiency.
  • Assist in maintaining and updating client records, ensuring accuracy and confidentiality.
  • Provide administrative support with migration cases, including data entry, document preparation & handling, and filing.
  • Handle incoming and outgoing mail and emails, responding or forwarding them as necessary.
  • Coordinate and manage the flow of documents and information within the office.
  • Take accurate notes and record minutes during client consultations
  • Assist in managing inquiries and scheduling appointments for visa consultations.
  • Collaborate with the team to ensure a seamless client experience.
  • Perform other related administrative tasks as needed.

What we're looking for

  • Strong organisational skills and attention to detail
  • Ability to multitask and prioritise in a fast-paced environment
  • Excellent written and verbal communication skills
  • Previous admin or reception experience is helpful but not essential
  • Proficiency in using office software, including Microsoft Office (Word, Excel, Outlook).
  • Discretion and respect for confidentiality when handling sensitive information.
