
Assistant Accountant

AJC is seeking a motivated and detail-oriented Assistant Accountant to support day-to-day financial operations, including accounts payable, accounts receivable, reconciliations, and month-end processes. Reporting directly to the Finance Manager, the Assistant Accountant will assist in maintaining accurate financial records, preparing reports, and ensuring compliance with accounting standards and company policies.
The
Assistant Accountant
supports the finance function of AJC by ensuring the accurate and timely management of core accounting activities, including accounts payable and receivable, project cost tracking, financial reporting, and month-end processes. Working collaboratively across the practice, this role plays a key part in maintaining the financial integrity of the business and supporting project teams with relevant financial information. The position requires strong attention to detail, a solid understanding of accounting principles, and an ability to contribute effectively within a creative and fast-paced studio environment.

Key Areas of Responsibility
Accounts Payable
- Prepare and process weekly payment runs accurately and on schedule.
- Verify and onboard new suppliers, ensuring compliance with company policies.
- Track and follow up on monthly invoices, resolving discrepancies with vendors and internal teams.
Accounts Receivable
- Prepare and issue client invoices using ProjectWorks, coordinating with project teams for accuracy.
- Assist in project setup in ProjectWorks, ensuring correct billing structures.
- Manage third-party portals (e.g., Payapps) for progress claims and verify payment schedules for variances.
- Maintain the accounts receivable ledger, following up on overdue invoices and resolving client queries.
Financial Statements
- Perform daily bank reconciliations to ensure accurate cash flow tracking.
- Assist in preparing monthly and annual financial statements.
- Support month-end closing, including journal entries and balance sheet reconciliations.
- Maintain accrual/prepayment schedules and update the Fixed Asset Register.
Reporting & Compliance
- Assist with tax calculations (GST, FBT, Payroll Tax) and lodgements.
- Support the preparation of the Taxable Payments Annual Report (TPAR).
- Contribute to budgeting and forecasting activities.
Administration & Support
- Ensure adherence to company policies and accounting procedures.
- Identify financial anomalies and recommend improvements.
- Manage the finance group inbox, delegating or responding to queries promptly.
- Liaise with internal teams and external stakeholders to resolve accounting issues.
- Handle ad-hoc requests from Directors and the Operations team.
- Provide support in processing payroll during the Payroll Officer's absence
Key Qualifications, Skills and Experience
Essential
- 2–3 years of experience in accounting, preferably in professional services (project accounting experience is a plus).
- Foundation knowledge of debits/credits, compliance, and basic financial reporting.
- Intermediate Excel (VLOOKUPs, PivotTables, basic formulas).
- Experience with ERP systems for professional services firms (Xero & ProjectWorks preferred).
- Strong organisational skills with high attention to detail.
Desirable
- Enrolled in or working toward CPA (or equivalent qualification).
- Experience with progress claims, project billing, or construction accounting.
- Ability to analyse data and identify discrepancies.
