
Native Title Records Administration Officer

ABOUT THE ROLE
The KLC holds a vast collection of records from native title determinations in the Kimberley region. A significant portion of these records are in hard copy format, containing vital cultural, historical, and legal information for native title holders and their representative organisations.
The KLC is now prioritising the digitisation and secure electronic transfer of these materials to Registered Native Title Bodies Corporate (RNTBCs / PBCs), other representative organisations, native title holders and their families, or other owners and successors.
The Native Title Records Administration Officer will be responsible for cataloguing, digitising, and compiling lists of archival documents from native title claims under the supervision of lawyers and anthropologists.
KEY RESPONSIBILITIES
Duties
· Catalogue and digitise records by reviewing, logging, and scanning historic native title records.
· Create and maintain accurate digital lists and databases of all records.
· Analyse and categorise digital and physical records under the guidance of anthropologists and lawyers.
· Facilitate the electronic transfer of materials in accordance with KLC policies and processes.
· Collaborate effectively with other staff to achieve the objectives of the KLC's record management and transfer policies.
· Perform any other duties consistent with the above as directed.
Financial
· Ensure adherence to all finance and procurement policies or contractual agreements relevant to KLC's basic support activities for PBCs.
· Operate purchasing functions for the Unit as delegated and in accordance with KLC purchasing policy.
Occupational Safety and Health
· Actively promote safe working practices across all activities.
· Report all incidents and near misses in accordance with KLC policies and procedures and legislative requirements.
· Maintain a safe workspace and actively contribute to the health and safety of the workplace by adhering to all health and safety policies and procedures.
Compliance
· Comply with all internal KLC policies and procedures and ensure the team's adherence.
· Demonstrate an awareness of and commitment to the KLC Vision and its Values.
Other
· Perform any other duties consistent with the above as directed from time to time.
SELECTION CRITERIA
Applicants must address all the below criteria. Response must not exceed three pages in total length
You must also be able to meet the inherent physical requirements of this role which includes repetitive, sedentary, screen-based work and/or the ability to pack, sort, lift and relocate records in accordance with established work health and safety practices and archival principles.
Essential
- Proven experience in administration, data entry, and/or digitisation. High attention to detail and a commitment to accuracy. Ability to follow directions, and capacity to seek guidance where required.
- Strong interpersonal skills and excellent written and verbal communication skills.
- Excellent computer literacy skills with a sound knowledge of Microsoft applications.
- Proven ability to manage multiple tasks and priorities and meet deadlines.
- Demonstrated ability to handle sensitive and confidential information with discretion. Excellent collaboration skills including ability to work within a multidisciplinary team.
- An interest in native title and Aboriginal heritage matters.
- Satisfactory National Police Clearance (obtained within the last 6 months).
- Understanding and appreciation of Kimberley Aboriginal cultures and protocols.
Desirable
- Qualifications or experience in a field related to law, Anthropology or other relevant Social Sciences.
- Knowledge and/or experience in native title.
- Experience in cataloguing, electronic records management, archiving, and storage.
- Experience working with Aboriginal people and communities.
