ABOUT THE ROLE

Under the direction of the Office Manager, the Business Operations Administration Assistant provides admin support across the multifunctional Business Operations Team. This person is responsible for working collaboratively as part of a team, performing administrative and organisational tasks to keep the day-to-day office activities operating efficiently. The position operates out of Broome KLC office.

KEY RESPONSIBILITIES

Duties

1. Provide administrative assistance and support to the Business Operations Team, including the following, but not limited to:

-Travel and Accommodation Bookings
-Travel allowance forms
-Reimbursement forms
-Obtaining Quotes
-Raising Purchase orders/ Expenditure requisitions
-Credit Card reconciliations
-Preparing correspondence

2. Provide logistical support for the Business Operations team, including arranging catering, venue hire, and deliveries

3. Support the HR team with scheduling interviews and new hire inductions

4. Provide regular reception relief coverage as required

5. Act as point of contact and provide support for external meetings

6. Maintain a neat and tidy stationary and print area, monitor inventory and order stationary and other office supplies as required

7. Periodically tidy up staff kitchens and organise replacement of inventory

8. Support Reception in putting out and retrieving weekly rubbish bins

9. Provide admin assistance on other KLC activities and events as required

- Commit to delivering services in consideration of cost, time and resource efficiencies

Occupational Safety and Health

1. Actively promote safe working practices across all activities;

2. Report all incidents and near misses in accordance with KLC policies and procedures and legislative requirements;

3. Maintain a safe workspace and actively contribute to the health and safety of the workplace by adhering to all health and safety policies and procedures.

Compliance

1. Comply with all internal KLC policies and procedures and ensure the team's adherence;

2. Demonstrate an awareness of and commitment to the KLC Vision and its Values.

Other

1. Other reasonable tasks as directed by authorised KLC personnel or representatives.

SELECTION CRITERIA

Applicants must address all of the below criteria. Response must not exceed three pages in total length.

Essential

1. Good oral and written communication skills and reasonable literacy skills to Year 10 standard or equivalent.

2. Co-operative nature and ability to work as part of a diverse team.

3. Good computer skills and familiarity with standard software and operating systems.

4. Ability to manage a range of priorities, sometimes under pressure.

5. Experience in working with or dealing with Aboriginal people.

6. Current driver's licence or eligibility for a licence.

7. Well-groomed appearance and friendly nature.

Desirable

1. A certificate in administration or experience in a similar role.
