Position Overview
The Senior Administrator is a crucial member of the firm, responsible for overseeing the firm's administrative, secretarial, and client services, with a particular focus on supporting the administration and management teams. This role ensures the seamless functioning of the administrative team, maintaining high standards of efficiency and service to support both professional staff and clients.
Additionally, this role supervises the Administration Assistant, providing guidance and training, while performing key administrative functions that contribute directly to the firm's day-to-day operations.
The Senior Administrator role requires a proactive and highly organised individual who can prioritise tasks, manage workflow efficiently, and ensure top-quality client service. This role supports both the administration team and professional staff, acting as a key point of contact for clients, and upholding the firm's commitment to exceptional service and operational excellence.
What You Will Bring
– Demonstrated experience in an administrative role within a professional services firm.
– Strong organisational skills with the ability to prioritise tasks and manage workflow efficiently.
– A proactive and problem-solving mindset, with a keen eye for detail.
– Familiarity with Microsoft Office 365 and willingness to learn firm-specific software, including FYI, XPM,
– Understanding of corporate compliance, SMSF administration, and ATO lodgement processes (or willingness to develop expertise).
– A professional and welcoming presence as a key point of contact for clients, ensuring a seamless client experience.
Key Responsibilities
– Supervise & Support: Oversee and mentor the Administration Assistant, ensuring efficient task completion and professional growth.
– Office & Executive Support: Manage reception, office coordination, meeting scheduling, and provide support to partners and management.
– Corporate Compliance: Handle ASIC compliance, including company changes, annual statements, and maintaining client registers.
– SMSF Administration: Coordinate SMSF processes, including data collection, workflow updates, tax return entries, and compliance.
– Client Onboarding & Engagement: Set up and manage new client processes, registrations, and ensure seamless client service.
– Fee & Billing Administration: Oversee invoicing, disbursements, and ensure accurate fee processing in line with client engagements.
– ATO Lodgement Management: Monitor and manage ATO deadlines, ensuring compliance and timely lodgements.
– Website & Social Media Management: Maintain and update the firm's digital presence, including LinkedIn and website content.
