Unified Fire Protection is a specialist provider of fire safety and protection services. We are seeking a motivated and dependable Office Assistant to support our Accounts/Administration & Service Coordinator. This is a part-time role, ideal for someone with strong attention to detail and good communication skills who can multitask in a busy environment.

Key Responsibilities

Office Administration

  • Answer incoming phone calls and handle general inquiries
  • Monitor service and accounts email inboxes for requests, directions, and purchase orders
  • File and archive work requests, invoices, orders, and other documents
  • Maintain subcontractor records and insurance details
  • Liaise professionally with clients, vendors, and Unified Fire Protection personnel
  • Assist with maintaining customer satisfaction and site documentation accuracy
  • Raise and receipt purchase orders for materials, equipment, and services
  • Learn and back up Accounts Administrator, including MYOB and Simpro functions
  • Enter vendor invoices and process employee timesheets into Simpro
  • Monitor accounts email for supplier statements and financial queries
  • Keep up to date with the latest occupational health and safety matters that affect the Company's personnel.
  • Assist with electrical and sprinkler take-offs from tender drawings (e.g., counting detectors, speakers, sprinkler heads, hydrants & measuring pipework)
  • Raising Purchase Orders for materials and equipment for both Service Technician's, Minor Works Tradesperson's and Major Works then receipt and complete vendor invoices once approved
  • Ensure that all work carried out by Unified Fire Protection is carried out to the complete satisfaction of the client and management.

Skills & Experience

  • Previous admin or accounts experience preferred
  • Knowledge of MYOB and Simpro (or willingness to learn)
  • Strong attention to detail and accuracy
  • Good communication and customer service skills
  • Comfortable working independently and managing multiple tasks
