Responsibilities

As an Executive Assistant you will thrive in a fast-paced environment and bring initiative, discretion, and a commitment to delivering high-quality executive
support.

Duties Include:

  • Manage the CEO's and Executives' calendars and inboxes, coordinate
    appointments, travel arrangements, and briefing requests, while maintaining a
    comprehensive deliverables list and identifying potential delivery risks.
  • Collaborate closely
    with the Executive Officer (EO) and other senior stakeholders to ensure
    strategic priorities are met through effective scheduling and stakeholder
    engagement.
  • Build and maintain
    strong working relationships with key stakeholders, including the Senior
    Leadership Team and Branches led by the Executives.
  • Provide
    administrative support to the Advisory Board, including travel bookings,
    processing payments, and preparing government reports on Board composition.
  • Support office
    operations across enabling services, including onboarding/offboarding, finance
    and invoicing, procurement, security, property management, and IT systems.
  • Undertake
    administrative financial tasks such as credit card reconciliations, purchases,
    and domestic travel coordination.
  • Assist with
    Branch-level administrative tasks including maintaining organisational charts,
    distribution lists, leave schedules, and reporting requirements.
  • Prepare high-quality
    documentation such as reports, briefs, meeting records, and correspondence.
  • Maintain and utilise
    information databases accurately and oversee records management including
    archival processes.
  • Order and manage
    office supplies to ensure smooth day-to-day operations.
  • Provide support for
    events and programs as needed.
  • Exercise sound
    professional judgment and discretion when handling sensitive or confidential
    matters, applying a solution-focused approach to stakeholder requests and
    issues.
  • Perform other duties
    as required to support the team and organisational objectives.

Your Profile

To be succesful in this role you will have:

  • Strong organisational skills – managing calendars, meetings,
    travel, and priorities.
  • Excellent
    communication – both written and verbal, with a professional tone.
  • Discretion and
    confidentiality – handling sensitive information with care.
  • Initiative and
    problem-solving – anticipating needs and resolving issues proactively.
  • Attention to detail –
    ensuring accuracy in documents, scheduling, and correspondence.
  • Time management –
    juggling multiple tasks and deadlines efficiently.
  • Adaptability –
    working in fast-paced, high-pressure environments.
  • Previous experience in
    executive or administrative support roles (ideally in government or similar
    structured environments).
  • Understanding of
    government protocols and APS values.
  • Proficiency in
    Microsoft Office Suite and other relevant systems (e.g., TRIM, SAP, or
    similar).
  • Knowledge of diary
    and email management, travel coordination, and meeting logistics.
  • Ability to liaise
    with internal and external stakeholders professionally.

AUS citizenship and a current Baseline clearance is mandatory
for this opportunity.
