Role Description

We are looking for a dedicated and organised
Practice Manager
to join our team and help ensure the smooth daily operation of the practice while also taking the lead on our marketing and community engagement efforts.

This is a dynamic, hands-on role is suited to someone who thrives in a collaborative, heart-centred environment and enjoys wearing many hats. As our Practice Manager, you'll be the hub of our practice—supporting both clients and practitioners while also helping to share our vision with the wider community.

Key Responsibilities

Practice Management

  • Welcoming clients
  • Managing day-to-day operations, including client bookings, referrals, and practitioner scheduling
  • Answering phone calls and emails with warmth and professionalism
  • overseeing practitioner and client communications, and ensuring a high standard of care
  • Managing service
    payments, Medicare/private health rebates, and general accounts administration
  • Maintaining a welcoming, clean, and calming practice environment
  • Providing administrative support to the practitioner team

Marketing & Community Engagement

  • Planning and coordinating events and promotional campaigns (eg. workshops, seasonal gatherings, client offers)
  • Managing and updating website content
  • Creating newsletters using Mailchimp and managing the mailing list
  • Creating social media strategy (Instagram, Facebook, etc.)
  • developing and implementing marketing and media strategies to attract new clients
    (including writing press releases, liaising with local media and community contacts
  • evaluating marketing effectiveness

About You

We are looking for someone who is:

  • Highly organised, detail-oriented and a multi-tasker
  • Friendly, empathetic, and professional in all client and practitioner interactions
  • Confident using digital tools (e.g. Mailchimp, Canva, social media platforms, website CMS)
  • Excellent written and verbal communication and content creation skills
  • Comfortable managing multiple priorities in a small business environment
  • Passionate about holistic wellbeing and aligned with our values of compassion, integrity, and whole-person care

Experience & Skills

  • Previous experience in operations and practice management (is a plus) or business administration (preferably in health or wellbeing)
  • Marketing strategy and digital marketing and/or communications experience (events, content, social media)
  • Proficiency in office software and cloud-based tools
  • Familiarity with health bookings/payment systems is a plus, but not essential
  • Proficiency in Client Relations and Communication Management
  • Experience in the healthcare industry is a plus

Qualifications

  • Bachelor's degree in Marketing, Business Administration, or related field
