What you'll be doing

Contract Officers, working to the Contract Manager's guidance, report to the Operations Manager and are responsible for managing contract administration for new and extending projects. The role supports Member companies from notification of a successful proposal submission through to contract management closeout. This requires careful checking of all documentation relating to wins and extensions, following fully documented procedures.

The role often has concurrent deliverables and, as it can be 'customer facing' with Members and clients, requires a calm methodical approach. From time to time, the role requires staff to work outside normal working hours to ensure contract management deadlines are met. Equally, on occasion the role is quiet.

The ideal candidate must be based in Canberra and will be required to work on site at our Belconnen office, 5 days per week, at 4 hours per day with great flexibility on offer.

Additionally, holding an Australian Citizenship is a minimum non-negotiable requirement for this role. Have an AGSVA Baseline Clearance or the willingness and ability to obtain one.

Responsibilities:

  • Work in a small team
  • Accurately follow written procedures
  • Work confidently with the Microsoft Office suite of IT tools
  • Be capable of working with an eProcurement tool, such as SalesForce or Prokuria, with appropriate training
  • Liaise with Members to answer queries
  • Liaise with Clients to answer queries and negotiate contracts
  • Analyse and escalate potential risks
  • Maintain company systems including physical and digital records
  • Create and lodge various reports as required
  • Participate in regular operational and staff meetings
  • Support a collaborative environment within the SME Gateway office
  • Complete directed online training activities
  • Meet all security requirements to handle up to Official: Sensitive material
  • Undertake other duties as directed.

What will make you successful in this role?

  • Have a minimum of three years of processing or equivalent office experience.
  • Have exceptional time management, attention to detail, and prioritising skills.
  • Have excellent verbal and written communication skills.
  • Have a pleasant phone manner to work directly with Members.
  • Be self-motivated & work well unsupervised.
  • Be an Australian citizen.
  • Have an AGSVA Baseline clearance or the willingness and ability to obtain one.
