Job Description

Position Title: Administration Assistant / Receptionist

Employment Type: Casual

Location: Brighton Physiotherapy Clinic

Primary Purpose of the Role

To provide high-quality administrative and reception support to ensure the smooth and efficient operation of Brighton Physiotherapy Clinic. The role involves greeting patients, coordinating appointments, processing payments, and assisting with general clinic upkeep and customer service.

Main Responsibilities

  • Perform front-of-house duties, including answering calls, responding to emails, and greeting patients professionally.
  • Manage appointment scheduling and maintain accuracy of the appointment book.
  • Process patient billings and payments using CLINIKO & HICAPS.
  • Prepare documentation, letters, and general correspondence.
  • Maintain accurate and confidential patient records, including electronic filing and scanning.
  • Perform invoicing and relevant financial admin tasks.
  • Complete general clerical duties such as data entry, photocopying, and mail handling.
  • Ensure clinic areas remain clean, tidy, and welcoming for patients.
  • Manage linen: washing, drying, folding, and maintaining hygiene standards.
  • Coordinate repairs and maintenance with technicians when needed.
  • Maintain stock levels, including stationery and staff amenities.
  • Run general errands as required (e.g., banking, postage).
  • Support physiotherapists and team members with administrative needs.
  • Perform other reasonable tasks as directed by the Business Owner.

Qualifications & Experience

  • Previous administration or reception experience (preferred)
  • Strong attention to detail and accuracy
  • Professional and courteous phone manner
  • Competent computer skills, including practice management systems (CLINIKO preferred)
  • Ability to work independently and collaboratively within a small team
  • Ability to manage sensitive and confidential information appropriately
