We are seeking a motivated and detail-oriented Project Support Officer to join the Business Enablement Team within the Human Capital Management Solution (HCMS) Program. This role provides high-quality, confidential executive and team.

You will play a central role in diary management, meeting coordination, board and committee paper preparation, and cross-team liaison to ensure the employee experience remains at the heart of HCMS. Acting as a central contact point, you will support the Director, managers, and wider project team with administrative and coordination tasks in a dynamic and fast-paced environment.

Key Responsibilities

  • Manage correspondence, diaries, appointments, meetings, travel, and visitor arrangements for the Director.
  • Collate project information and assist managers with reporting.
  • Provide support on financial, procurement, HR, IT, and administrative matters.
  • Coordinate board and committee meetings, including preparing and distributing agendas, papers, minutes, and action logs.
  • Track key deliverables, deadlines, and approvals; follow up on actions and escalate risks where needed.
  • Liaise across internal teams and external vendors to gather information and align timelines.
  • Maintain accurate records, version control, and filing systems in Teams/SharePoint/Content Manager.
  • Provide proactive team support and adapt to shifting priorities to ensure successful program delivery.

You are an organised and proactive professional with a strong ability to manage competing priorities while maintaining attention to detail. You will bring:

  • Experience providing executive and project support in a dynamic environment.
  • Strong stakeholder engagement and coordination skills.
  • Experience in secretariat services, including agenda preparation, minute-taking, and action tracking.
  • Proficiency with Microsoft Office, Teams, SharePoint, and document management systems.
  • Flexibility to work independently and collaboratively across teams.
  • Strong analytical and problem-solving skills with the ability to deliver practical solutions.
