As the Information and Documentation Management Lead you will be overseeing the end-to-end management, classification, and transfer of documentation to support a program of work. This role will ensure that all information assets are identified, structured, tagged, and governed appropriately for handover, in alignment with regulatory, legal, and organisational requirements. The role will also manage document tagging, metadata capture, and control processes.

This role will start as a one-year max term with a possibility of extension.

What will you be doing?

  • Leading the development and implementation of a structured information management framework to support the separation and transfer of all Insurance-related records and documentation.
  • Managing, cataloguing and tagging documentation across SharePoint, OneDrive, shared drives, and other repositories.
  • Defining and implementing a logical information architecture, including folder structures and metadata schemas, across SharePoint and OneDrive to ensure discoverability, consistency, and compliance with RAC's information management standards.
  • Overseeing the cleansing, de-duplication, and validation of documents to ensure accuracy, completeness, and readiness for handover to the acquiring party.
  • Collaborating with Legal, Risk, and Compliance teams to apply the correct record-keeping, privacy, and retention controls in line with legislative and organisational requirements.
  • Developing controlled and traceable document sets for handover, including inventories, access controls, and version histories, ensuring all documentation is properly referenced and approved.
  • Providing training and guidance to project teams and business stakeholders on metadata standards, naming conventions, and classification practices to ensure consistent adoption of information management principles.
  • Developing and maintaining dashboards or reports tracking document tagging, categorisation, and readiness metrics to support project milestones and executive reporting.
  • Understanding our current state document categorisation and define a future state ensuring compliance and regulatory adherence.
  • Analysing as-is and to-be mapping for current and future states in to do a vendor selection for Document Management solutions in market to ensure fit for purpose software selection.

What are we looking for in you?

  • Extensive experience in information management, document control, or records management within large, complex organisations.
  • Proven expertise in designing and governing SharePoint and OneDrive information architecture, including taxonomy, metadata standards, tagging schema, and folder structures.
  • Demonstrated experience managing document classification, validation, and transfer activities within merger, acquisition, or divestment contexts.
  • Experience coordinating contractors or third-party resources such as research librarians or document control specialists.
  • Strong understanding of data privacy, records retention, and regulatory standards (e.g. ISO 15489), applying governance controls to ensure compliance.
  • Ability to produce fully tagged, validated, and traceable document sets, including audit trails, document registers, and controlled handover packs.
  • High attention to detail with strong organisational, analytical, and problem-solving skills.
  • Excellent communication skills, with the ability to translate technical information management concepts for non-technical stakeholders.
  • Regularly providing progress reporting and recommendations for continuous improvement across information management activities.
  • Qualifications in Information Management, Library Sciences, Records Management, or a related discipline (desirable).
  • Certification in SharePoint or related platforms (advantageous).
