Executive Assistant - Operations & People
We're looking for a highly organised and proactive person to provide Executive and Operational support across our Operations and People & Culture teams. This role is varied and fast-paced, perfect for someone who enjoys multitasking, problem-solving, and helping things run smoothly.
The position is a full-time permanent role. This position requires regular on-site work Monday to Thursday am start) with occasional Fridays on-site when key meetings / event require it.
Key Responsibilities include:
Executive Support
- Provide Executive Assistance to the Director of Campus Network, National Operations Leader, and Executive Director of People & Culture.
- Manage calendars, meetings, and travel bookings for team members.
- Monitor emails, respond or escalate as needed.
- Prepare and edit reports, presentations, and other documents.
- Handle confidential information with discretion.
- Maintain and update OAC Hub (intranet) content for Operations and P&C.
Operational Coordination
- Manage the Operations calendar and support key initiatives with stakeholders across the organisation.
- Track and follow up on priorities, projects, and deliverables.
- Support coordination of operational activities to align with business goals.
- Provide general support to the broader Operations team.
Meetings & Events
- Organise meetings, workshops, and events including logistics, agendas, minutes, and follow-up actions.
- Coordinate events such as the Leadership Conference, Excellence Awards, and Soundbite Series.
Induction & Onboarding
- Coordinate day-one induction sessions and ensure campuses are ready for new starters.
- Manage materials, facilitator schedules, and SME sessions for new leaders.
Communication & Stakeholder Engagement
- Act as the first point of contact for senior leaders.
- Build strong relationships across departments to support collaboration and information flow.
Process Improvement & Initiatives
- Identify ways to streamline administrative processes.
- Support rollout of new initiatives and change projects.
Office Support
- Help keep the office running smoothly (meeting room readiness, supplies, etc.).
- Support the EA to the CEO when required (e.g. managing guests, travel requests, or building issues).
- Contribute to a positive, team-focused culture aligned with OAC's HEART Principles.
