The Opportunity

We are seeking an experienced and proactive Bookkeeper to manage the financial operations of our retail and warehouse business. This part-time role (2–3 days per week) is ideal for someone with strong technical bookkeeping skills and a hands-on approach to financial accuracy and compliance. Working closely with the Director and Operations team, you will maintain the integrity of financial records, ensure compliance with statutory obligations, and deliver clear, timely reporting.

Key Responsibilities Core Bookkeeping & Compliance

  • Manage all day-to-day bookkeeping and ensure accuracy across general ledgers.
  • Perform bank, cash, and clearing account reconciliations on a regular basis.
  • Process accounts payable and receivable, supplier invoices, and payment runs.
  • Administer payroll for retail and warehouse staff under the Retail Award, including Single Touch Payroll (STP), superannuation, and compliance obligations.
  • Prepare and lodge Business Activity Statements (BAS) and Instalment Activity Statements (IAS).
  • Maintain compliance with ATO and audit requirements, ensuring all documentation is current and accurate.

Retail & Warehouse Accounting

  • Reconcile retail sales, till balances, and cash deposits across multiple store locations.
  • Review and process daily POS summaries and warehouse sales transactions for accuracy.
  • Manage inventory accounting and cost-of-goods-sold (COGS) reconciliations, including landed cost allocations.
  • Track inter-store transfers, markdowns, and stock adjustments.
  • Liaise with suppliers and freight partners for invoice accuracy and cost allocation.

E-Commerce & Systems Integration

  • Reconcile Shopify (POS and online) sales with Xero, ensuring accuracy for fees, refunds, and discounts.
  • Manage payouts from Afterpay, PayPal, and other online payment gateways.
  • Maintain consistency between warehouse, POS, and accounting systems.
  • Assist in process improvement initiatives to increase automation and efficiency.

Reporting & Analysis

  • Prepare weekly and monthly financial reports including sales, payroll, and expenditure.
  • Produce month-end statements (Profit & Loss, Balance Sheet, and Cash Flow).
  • Support budgeting, forecasting, and performance tracking.
  • Provide insights to management for financial decision-making and process improvement.

Qualifications & Experience

  • Minimum 3–5 years' bookkeeping experience within a retail, warehouse, or e-commerce business.
  • Strong proficiency in Xero (or MYOB) and familiarity with Shopify or similar POS systems.
  • Sound understanding of BAS, IAS, STP, and Retail Award payroll compliance.
  • Experience with multi-store accounting and high transaction environments.
  • Excellent attention to detail, organisation, and communication skills.
  • Strong knowledge of Excel or Google Sheets for reconciliation and reporting.
  • (Preferred) Experience with landed-cost accounting and inventory reconciliation.

Job Types: Part-time, Casual

Pay: $32.00 – $40.00 per hour
