Office Manager/Executive Assistant
to join our buzzing (and flourishing) team
About The Role
You'll play a dual role: ensuring the smooth operation of Jaywing's offices and facilities in Sydney and Melbourne, while also providing high-level, confidential, and complex executive support to our CEO.
What You'll Be Doing
- Provide proactive clerical and administrative support to the CEO.
- Manage a complex, dynamic calendar and coordinate high-level internal/external meetings.
- Act as a key liaison across the business and with external stakeholders.
- Coordinate client events and pitch meetings, including catering.
- Process expenses and credit card reconciliations for the CEO and executive team.
- Arrange domestic and international travel (flights, accommodation, itineraries).
- Oversee onboarding logistics for new starters, including equipment and workspace set-up.
- Maintain stock of office supplies and stationery across all locations.
- Help coordinate and organise cultural initiatives (team socials, events, etc.).
- Liaise with contractors and service providers to ensure offices remain safe, clean, and operational.
- Manage relationships with building owners and managing agents.
- Act as Chief Fire Warden: keep emergency procedures up to date, oversee training, and manage annual evacuation drills.
