The Facilities Manager will manage the day-to-day client property activities on-site for assigned client portfolio, and be the key point of contact for client stakeholders. . The role will assume property-related responsibilities as required by the client and as outlined below.
Main Duties
- Provide Building Management services for a Canberra client's property portfolio and be the primary point of contact with the landlord and contractors including site induction where necessary.– If required, meet with contractors coming to the client sites to review work orders and making sure they sign in using the 'OnSite' site access tool.– Establish regular meetings with the Building Manager / Landlord for the Canberra sites.– Escort contractors where required.
- Provide facilities management support to all client portfolio sites – however the main focus for this role are the client Canberra sites:– Familarise yourself with the process of loading jobs using the work order management system.– Develop property efficiency solutions where possible, including processes to reduce email/communications traffic.– Follow up outstanding jobs. Be proactive by engaging directly with the contractor and keep the affected client staff updated with work order progress.
- Have sound understanding of the Property Asset and Maintenance Plans/Schedules and property summaries for the client sites if necessary if required by the client:– Work with the National Evolve Facilities Manager and Evolve work streams, assist with making sure all property requirements and information is up to date and accurate.
- Review delivery and performance of downstream contractors as they support the Canberra sites:– Work with Evolve Procurement and Facilities teams to manage contractor performance.– Work with the client Property team ensuring Evolve provide accurate and on time communications to staff on procurement and contractor information.
- Identify gaps in services and provide effective changes as they relate to client sites– Identify and establish process improvements
- Attend monthly meetings– Attend monthly operations meetings– Co-ordinate and attend monthly FM meetings and ensure actions items resulting from these meetings are addressed and completed
- Generate reporting from various systems to assist property operations:– Operations reporting and ad hoc reports as required by the client property– If the client needs a specific report or request for information, work with the Evolve National Facilities Manager to complete the requested report.– Monitor and input any action items and assist with resolution of these items.
- Manage and monitor core service minor works at Canberra sites, including developing Project Plans.– Develop process for minor works as required.
- Client/Stakeholder Management– Proactively engage stakeholders to ensure that the client's expectations are met– Build and develop effective client / stakeholder relationships across multiple levels of the organisation– Use excellent communication skills to effectively manage the diverse group of client stakeholders– Identify value-add opportunities Evolve can offer the client– On-site key point of contact for Facilities in the client's premises
- Health & Safety Management– Ensure the provision of a safe working environment– Ensure at all times compliance with statutory regulations on fire, health and safety standards
- Site Operations Management– Recommend continuous quality improvement practices and implement Industry Best Practice operations– Implement building procedures and performance measures and ensure they are maintained at all times– Ensure all Critical Environment (CEM) requirements are met– Proactively review existing operations regularly to identify opportunities to reduce costs and improve operational standards– Provide afterhours assistance if required.
- Risk Management– Ensure a property risk management program including audits is implemented and maintained– Ensure disaster recovering and business continuity plans are implemented and maintained– Ensure escalation procedures and incident reporting procedures are implemented and in place– Assist in the development of guidelines and strategies to ensure compliance with Evolve FMs business conduct
- Achieve Key Performance Indicators and Service Level Agreement targets
- Additional activities as directed by the Manager and Assistant manager of the client Property Services Team
Qualifications
- Bachelor's degree in facilities management, building, business or other related field and/or 3-5 years' experience in facilities, property management, hospitality or related field
Experience
- Has experience working in FM environment
- Excellent communications skills, and is adept in managing a diverse group of stakeholders effectively
- Knowledge of vendor management for specialized services
- Understands and has knowledge and experience of technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)
- Proven capacity to understand and interpret commercial contracts
- Strong budget management and financial analysis skills
- A good understanding of building systems and services
- Knowledge of Property Services Coordinated Procurement arrangements
- Financial services knowledge
- Knowledge of WHS requirements
- Ability to work within and understand client management systems
- Ability to work cohesively in a small team
- Excellent problem solving skills
- Stakeholder management – including contractors
- Minimum Baseline Security clearance
- Ideally the successful candidate would have a trade background in either HVAC, hydro or electrical – or 5 years work experience in similar disciplines.
