About the API
The Australian Power Institute is a national not for profit focused on developing the power engineering professionals (electrical engineers and others) for Australia.
Established in 2004, the API is funded by 22 industry organisations and connects with 20 Australian universities and other non-profit organisations. We are a small team of staff (6 people), all working from home in VIC, TAS and QLD, with an operating budget of $1.6M per year. Our activities range from inspiring primary school students to supporting experienced industry professionals to connect and share their knowledge about the electricity sector.
Role Overview
We are seeking a Marketing and Operations Coordinator, a role that is central to the operational and engagement success of our programs. Reporting directly to the Operations Manager, this position requires a close working relationship with the Marketing & Engagement Manager.
You will play a key role in supporting marketing and administrative activities across all of API's programs, collaborating with all the API's team members to ensure seamless execution and impactful results.
As our Marketing and Operations Coordinator, you will be responsible for:
Marketing Support:
- Collaborate with the Marketing & Engagement Manager to develop and implement marketing strategies.
- Create engaging content for social media, including graphics and videos, using tools like Canva, Premier Pro, Vimeo and more.
- Edit and manage video content from conferences and meetings for online platforms.
- Assist in the creation and distribution of monthly EDM campaigns, bulk email communications and social media postings.
- Update and coordinate changes to website pages in a timely manner.
- Collect and analyse engagement data to ensure effectiveness of work.
Operational Coordination:
- Coordinate administration tasks across various API programs, ensuring alignment and efficiency.
- Maintain and update participant and stakeholder information in our CRM.
- Organise logistics for online and in-person meetings, including venue and travel arrangements.
- Issue credentials and certificates for program completions.
- Compile and analyse data for reports on program performance and engagement metrics.
Team Collaboration:
- Work under the guidance of the Operations Manager, serving as a liaison between different team members.
- Support the organisation and execution of API's events and outreach programs.
- Contribute to the development of content plans and marketing strategies.
- Engage in direct communication with students, stakeholders, and industry contacts.
Event and Program Support:
- Assist in organising logistics for events like conferences and the API's Summer School (eg. Booth materials and Merchandise).
- Support the execution of online webinars and workshops.
- Take part in and contribute to the planning and execution of API's school outreach programs and support of the volunteers.
- Support the CEO and other API staff with other duties as required.

- Effective Program Support: Demonstrated through seamless coordination and execution of API's programs, evidenced by positive feedback from team members and successful event outcomes and reports.
- Enhanced Engagement: Visible increase in engagement metrics across our digital platforms, including social media and email campaigns, indicating effective marketing strategies and content creation.
- Positive Stakeholder Feedback: Receiving commendations or positive feedback from students, industry contacts, and other stakeholders, reflecting strong communication and relationship-building skills.
- Operational Efficiency: Consistent and timely completion of administrative tasks, accurate database management, and efficient organisation of meetings and events, showcasing strong organisational skills.
- Collaborative Success: Recognition from the Operations Manager and the Marketing and Engagement Manager for contributing to team efforts and playing a key role in linking various portfolios within the API.
