About The Role
We're seeking a motivated Administration Officer to join our Psychiatry Training Network within Hunter New England Mental Health. Based at our Waratah campus, you'll play a vital role in supporting the delivery of high-quality medical education and training programs that shape the future of psychiatry across our district.

In this role, you'll provide administrative support to the Medical Education Support Officer, Director of Training and Director of Prevocational Training. You will also assist the Director of Prevocational Training with accreditation requirements. You'll be central to the smooth running of education sessions, training logistics, documentation, and rostering for junior medical staff.

This is an excellent opportunity to be part of a well-regarded training program with strong academic and clinical connections, while working in a collaborative and supportive environment.

In This Role, You'll

  • Provide on-the-ground support during training sessions.
  • Manage attendance records, feedback systems, databases and filing.
  • Draft correspondence, agendas and minutes when required.
  • Oversee invoicing, reimbursements and other financial functions.
  • Support accreditation activities and prevocational JMO rostering.
  • Work closely with clinicians, educators and administrative colleagues to ensure training delivery runs smoothly.

A Typical Week May Include
Monday: Orientation (every 10 weeks) for new JMOs.

Wednesday: Support grand rounds (1–2:30pm) and psychiatry formal education sessions (2:30–5pm).

Thursday: Facilitate JMO psychiatry education sessions (3–5pm).

Friday & other weekdays: General administrative duties, rostering and team meetings.

About You
You're a confident, capable administrator who thrives in a busy, team-focused environment. You can manage multiple priorities while maintaining strong attention to detail and professional communication.

You Must Have

  • Demonstrated experience in high-level administrative support, with the ability to prioritise and meet deadlines.
  • Excellent written and verbal communication skills, with the ability to build strong relationships.
  • Intermediate to advanced skills in Microsoft Office and Outlook.
  • A customer-focused approach, including conflict resolution skills.
  • Knowledge of RANZCP, HETI, AHPRA and NSW Health processes (or willingness to learn).

Why Join Us?

  • Direct training and support from the Medical Education Support Officer.
  • Access to My Health Learning modules and additional professional development opportunities.
  • A supportive, collegiate culture that values teamwork, knowledge-sharing and continuous improvement.

This is more than an administration role — it's your chance to contribute to a program that supports medical staff, strengthens mental health services, and makes a real impact across the Hunter New England community.
