We are a busy pool service and pool construction company looking for a reliable, capable Office Administrator to join our small tight knit team.
This is not a typical office job – while you'll be handling general administration (answering the phone, reading emails, invoicing and quoting), you'll also be the central point of contact in our trade-based environment. Our service technicians are in and out of the office all day, and our shop doubles as a hub for customers popping in for pool supplies. We need someone willing to learn about the industry and pitch in where required.
What You'll Be Doing:
- Day-to-day operations – answering phones, monitoring emails, booking jobs.
- Invoicing and quoting – using Xero to manage service billing, send customer quotes and chase payments on overdue accounts
- Customer service – both over the phone and on occasion, in person in our store
- Supporting the team – coordinating with technicians, tracking jobs, and keeping things running smoothly.
- Helping hands – at times you may need to assist the front shop by running a water test (training provided) or carrying a 20kg salt bag out for a customer
Who This Role Would Suit:
- You're tech-savvy enough to use systems like Xero (or willing to learn quickly)
- You're reliable, friendly, and capable
- Willing to learn the ins and outs of the pool industry
- Good customer service experience (phones are a big part of the day to day)
- You're comfortable in a tradie-style environment – happy to roll up your sleeves and give a hand when heavy equipment is delivered.
Nice to Have:
- Previous experience in a trade, retail, or construction-based admin role
- Comfortable with basic physical tasks (e.g. lifting stock)
- A practical background or interest in how things work – whether it's fixing stuff, working with your hands, or keeping things organised
- A good sense of humour and can handle the shifting seasons (crazy in the summer, calm in the winter)
Who You'll Be Working With:
You'll work closely with our experienced shop manager Lianne and a team of service techs (mainly in their 40s). It's a tight-knit crew where mutual respect, reliability, and a bit of a laugh go a long way.
