We are seeking a dedicated, professional, and friendly Receptionist for our Dental Centre Network (DCN), based primarily at our Hornsby Dental Center, with opportunities in Chatswood
About the Role:
The Receptionist is a key frontline member of our team, responsible for maximising patient appointments, managing the appointment book, and ensuring efficient and courteous customer service to both members and staff. You will be the first point of contact for incoming phone calls, support the Practice Manager and the Dentist in Charge, and play an integral role in the smooth operation and teamwork of the dental centre.
Your responsibilities will also include raising accounts, receipting payments, and ensuring compliance with the HCF Dental Quality Management System and HCF policies and procedures.
Key Responsibilities:
The key responsibilities of this role include but are not limited to the following:
Provide courteous, prompt, and accurate responses to all patient and staff enquiries.
Answer phones within established KPIs and ensure all calls are monitored and responded to throughout the day.
Maximise patient appointments and minimise schedule gaps.
Create, reschedule, and cancel appointments as required.
Maintain a clean and organised reception area.
Receive patients and assist emergency patients per HCF Dental protocols.
Raise patient accounts, claim benefits, and receipt gap payments efficiently.
Follow up on gap account payments and process refunds, credit adjustments, and benefit issues.
Perform daily banking and balance takings, preparing end-of-day reports.
Liaise with other Dental Centres regarding patient files and records.
Skills, Experience, and Qualifications:
Essential:
Neat personal appearance and excellent presentation.
Competence in appointment booking and account systems.
Ability to maintain strict confidentiality, tact, and diplomacy at all times.
Knowledge of Dental Centre systems and procedures.
Desirable:
Previous experience as a Dental Assistant or willingness to be cross-trained.
Familiarity with D4W software.
Working knowledge of Microsoft Outlook, Excel, and Word.
Qualifications in first aid.
