We're looking for a highly organised, proactive, and dependable Executive Assistant to support the CEO of a fast-growing licensed real estate agency in the short-term rental industry.
Based in Epping, NSW, this role sits at the heart of the business — ensuring daily operations run smoothly, projects move forward, and the CEO's time is focused on driving growth and strategy.
This is a hands-on, flexible role ideal for someone who thrives in a dynamic environment, enjoys variety, and wants to make a genuine impact in a growing company.
About the Role
You'll manage day-to-day operations, communications, and strategic support for the CEO, helping keep the business running efficiently across multiple offices in New South Wales.
Your work will span everything from diary management and reporting to process improvement, project coordination, recruitment support, and internal operations — with plenty of scope to take initiative and improve systems.
Key Responsibilities
Executive & Administrative Support
• Manage and optimise the CEO's calendar, appointments, and meetings
• Prepare agendas, briefing notes, and track action items
• Manage the CEO's inbox, including prioritising and filtering correspondence
• Provide weekly summaries of key priorities, progress, and issues
• Identify and implement process improvements for recurring workflows
Business Operations (Short-Term Rental Management)
• Maintain compliance documents and staff training records
• Manage software subscriptions, licences, and renewals
• Track staff tasks, deadlines, and performance
• Approve staff leave and review spending or reimbursements
• Verify completion of key processes (e.g. contracts, agreements, or reporting tasks)
• Monitor staff compliance with workflows and procedures and escalate issues to Operations Management
• Coordinate marketing assets such as photo orders and related materials
Project Coordination & Reporting
• Set up and manage NPS surveys and feedback initiatives
• Coordinate internal projects such as Annual Awards and company updates
• Manage Trello boards, email workflows, and marketing updates
• Oversee brochure updates and property marketing materials
• Check monthly property statements for accuracy
Recruitment & Onboarding
• Organise interviews and candidate communication
• Conduct reference checks and assist with onboarding
Travel, Events & Personal Support
• Book travel, tickets, and events for the CEO
• Arrange household and business appointments, deliveries, and orders
Communication & Liaison
• Act as the main point of contact between the CEO and internal team
• Assist with reviewing operational email drafts before sending
• Support payroll, payments, and bookkeeping coordination with the finance team
Skills & Requirements
• Exceptional organisational and time-management skills
• Strong written and verbal communication
• Excellent attention to detail and ability to anticipate needs
• Discreet and trustworthy with sensitive information
• Highly proficient in Microsoft Office and Google Workspace
• Familiarity with Trello or other project management tools
• Tech-savvy and confident with new software
• Able to manage multiple priorities independently
• Min 3 years Executive Assistant or Personal Assistant experience (real estate or property management experience advantageous)
• Australian work rights required
