The Administration Officer – Pharmacotherapy & Harm Minimisation plays a key role in supporting the smooth functioning of programs focused on opioid pharmacotherapy and harm reduction. Working across a multidisciplinary team, the role helps to ensure that internal operations, sector engagement, and project delivery are well-coordinated and effectively managed. With a focus on accuracy, communication, and collaboration, this position contributes to the overall success of programs aimed at improving community health and wellbeing.
Key responsibilities:
- Provide general administrative support to the Pharmacotherapy & Harm Minimisation team
- Assist with coordination and communication across key sector networks
- Maintain accurate records and data to support reporting and evaluation
- Support financial processes and documentation, including invoice tracking
- Contribute to the organisation and delivery of harm reduction initiatives
- Assist in the preparation and distribution of internal and external communications
- Support team members and leadership with project coordination tasks
- Ensure compliance with internal procedures and record-keeping standards
What you will bring to the team:
Strong administrative experience with a solid understanding of harm minimisation principles and familiarity with Needle and Syringe Programs (NSP).
Excellent interpersonal and communication skills, with the ability to engage empathetically and professionally with clients, staff, and stakeholders.
Proficiency in written communication, including accurate record-keeping and the ability to prepare clear and concise reports.
Advanced computer literacy, particularly in Microsoft Office and data management systems; knowledge of Sage is an advantage, but a willingness to learn is essential.
Highly organised and detail-oriented, with proven ability to manage competing priorities, use initiative, and uphold the values of Ballarat Community Health in all aspects of work.
Secondment opportunity:
A secondment is a temporary transfer to another role, usually for a fixed period, after which the employee will return to their original position unless otherwise agreed.
