The Adelaide Education Group (AEG) is a multi-sectored and dynamic education consortium based in South Australia and delivers government accredited and non-award courses from Primary to Postgraduate levels for local and overseas students.  AEG comprises the Adelaide International School (AIS), Adelaide Institute of Business and Technology (AIBT), Adelaide Institute of Higher Education (AIHE), and Adelaide Research Institute (ARI).

Adelaide Institute of Higher Education (AIHE) is one of Australia's youngest and most exciting Higher Education providers, currently delivering a Bachelor of Business and Master of Business Administration (MBA) to international and domestic students from its Adelaide and Melbourne campus.

The Student Experience and Academic Support Administrator is responsible for implementation of student events and activities to create a vibrant and inclusive campus culture through the promotion of student participation, intercultural awareness, student health and wellbeing and retention in alignment with the AIHE Student Engagement and Well Being Plan. The role guides students to establish positive patterns of study behaviour and will also be the conduit for students to access professional counselling services as required. The position is also responsible for coordinating career information and guidance to students, helping them to define their career goals, develop job search skills and connect with recruiters. The Student Experience and Academic Support Administrator will work closely with industry partners to secure opportunities for work integrated learning and professional placement and other career related activities such as volunteering, internships, career development workshops and mentorship.

The role is a full-time, 12-month fixed-term contract position based in Melbourne to cover a team member's maternity leave.

Engagement:

  • Develop, review, and execute Student Engagement and Wellbeing program and student activities in consultation with the General Manager and Head of School.
  • Manage the coordination and execution of an Orientation program each intake for new AIHE students.
  • Manage the planning and coordination of new arrival support assistance including airport pick up arrangements, accommodation assistance and peer mentoring.
  • Plan key student activities/events on and off campus to increase inclusiveness, student relationships, student health and wellbeing, raise cultural awareness and maximise student retention.
  • Create opportunities for participation in student leadership programs and the Student Voice Committee
  • Provide industry and community engagement opportunities for students, such as volunteering and opportunities for work integrated learning, professional experience and other career focused activities.
  • Manage the planning, coordination, and execution of a Graduation Ceremony at the end of the year.

Student wellbeing, enrolments and support:

  • Manage and implement student wellbeing strategies which focus on maintaining healthy lifestyles, student safety and student mental health.
  • Facilitate initial individual and group counselling and wellbeing sessions with students who require support.
  • Liaise with external counselling services for professional treatment/support of student and ensure strict confidentiality.
  • Provide advice and guidance to students on access to Legal Services, Overseas Student Ombudsman, Accommodation, Fair Work and other support services as required.
  • Assist international students with settling into life in Australia by running workshops and consultations as part of first-year student experience.
  • Stay abreast and informed of worldwide events and issues that may impact the wellbeing/academic performance of international students at AIHE.
  • Coordinate the processing of student enrolment and associated activities, including applications for credit assessments and requests for suspensions, deferments, grade reviews and internal appeals.
  • Provide advice to students relating to programs/courses, academic policies and procedures, and other student academic matters.
  • Coordinate the monitoring and reporting of student participation, progression and attainment.
  • Manage the administration and reporting of relevant surveys and evaluations for courses.
  • Process course results and preliminary grades for review and approval.
  • Undertake data cleansing processes and associated regulatory reporting.
  • Coordinate the planning of graduation ceremonies.

General administration and support

  • Provide high quality support for a range of student related enquiries and matters.
  • Support the monitoring of student progression and performance including attendance and welfare issues.
  • Document activities and maintain records as required.
  • Inform staff and students of activities and services as is contextually appropriate and respond to queries and requests a timely manner.
  • Communicate in an effective and timely manner with external parties.
  • Manage the timetabling of classes and examination.
  • Assist in the moderation of assessments between campuses.
  • Assist in the invigilation, quality control and conduct of examinations.
  • Maintain the accuracy of student records for regulatory reporting.
  • Assist with the scheduling of student appointments with senior staff.
  • Assist teaching staff with the invigilation of examinations.
  • Develop and maintain strong and effective relationships with other staff and functions across the group.
  • Provide administrative support to the Chief Executive Officer, Head of School, and other staff as may be needed.

ATTRIBUTES, QUALIFICATIONS AND EXPERIENCE

Essential

  • Excellent interpersonal skills and ability to relate well to students and professionals.
  • Bachelor's degree (or demonstrated equivalent experience).
  • Strong written communication skills and understanding of policy documents.
  • Demonstrated ability to meet deadlines and deal with competing priorities.
  • Excellent attention to detail, including proofreading and editing skills.
  • Ability to independently resolve routine problems and issues.
  • Strong IT and digital literacy (experience with student management systems, spreadsheets, databases, and learning management systems is advantageous).
  • Experience working in the higher education sector, preferably in a commercial setting.
  • Demonstrated intercultural competence.
  • Current knowledge and understanding of key legislation, policies, and procedures relevant to international students.
  • Professional approachability and ability to identify situations where personal confidence &/or discretion is required.
  • Ability to plan, control, coordinate and manage activities with minimal supervision.
  • Demonstrated maturity and ability to mentor and guide students.

Desirable

  • Knowledge of the Education Services for Overseas Students Act 2000 and the National Code of Practice for Providers of Education and Training to Overseas Students 2018
  • Experience working in the international higher education sector, preferably in a commercial setting.

The successful candidate will be required to undertake a Working with Children Check with the Victorian Australian government.
