We're seeking an Event Coordinator for a 6-month fixed-term contract based in Sydney to help deliver a high-profile conference in the financial services sector

About The Role:

As Event Coordinator, you'll manage event logistics, coordinate supplier relationships, and provide operational support to ensure everything runs seamlessly. You'll work closely with our marketing team to maintain timelines, oversee backend processes, and help create an exceptional experience for attendees, sponsors, and exhibitors.

Responsibilities:

  • Supplier Coordination: Liaise with suppliers, including venues, AV teams, and catering providers, to confirm bookings, schedules, and requirements.
  • Event Logistics: Help Manage event logistics, such as photography, suppliers, Bump In, catering run sheets, floorplans, and room setups, ensuring all elements align with the schedule and event objectives.
  • Sponsorship Administration:

  • Communicate with sponsors and exhibitors, providing regular updates and reminders.

  • Follow up on deliverables, such as logos, materials, and other sponsorship requirements.

  • Event Registration & App Support: Assist with the backend operations of the event registration platform, including responding to queries, reporting, database management, troubleshooting issues, and providing support where needed.

  • Promotions: Assist with promotions including sending EDMs, Linkedin posts.
  • On-the-Day Stage Management: Oversee stage management during the event, ensuring smooth transitions between sessions, speaker readiness, and adherence to the event schedule.
  • General Event Support: Provide ad hoc support across various event functions as required.
    Other duties as reasonably required

About You:

  • Tertiary qualifications in Marketing, Event Management or related discipline or equivalent comparable work experience
  • Demonstrated experience in event coordination or marketing is essential, with exposure to corporate or financial services environments considered advantageous but not mandatory.
  • Proficiency with event registration platforms (such as Cvent, Eventbrite, or similar), including the ability to manage backend operations effectively.
  • Working knowledge of Email Data Management (EDM) systems, particularly Pardot, to support marketing campaigns and promotional activities.
  • Strong organizational skills with attention to detail, the ability to multitask, and effectively manage competing priorities.
  • Excellent verbal and written communication skills, with the capability to liaise confidently with suppliers, sponsors, and exhibitors.
    Collaborative and team-oriented approach, with a willingness to assist across various aspects of event planning and delivery.
